Job Summary

We are seeking a highly organized and proactive Executive Assistant to support our CEO. This role is crucial in ensuring the smooth operation of the executive office and requires a detail-oriented individual with exceptional multitasking abilities. The ideal candidate will possess strong administrative skills and be adept at managing various tasks efficiently.

Duties

  • Provide direct administrative and operational support to the CEO.
  • Coordinate and manage the CEO's calendar, meetings, and travel arrangements.
  • Prepare reports, presentations, and correspondence on behalf of the CEO.
  • Handle confidential information with discretion and professionalism.
  • Liaise with tenants, partners, and internal teams.
  • Assist in coordinating property management and corporate projects.
  • Perform general office management duties as required.

Experience

  • Proven experience in an administrative role with a focus on executive support is preferred.
  • Bilingual (English and French) required; excellent communication and writing skills.
  • Strong proficiency in Apple macOS and iOS systems, as well as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Highly organized, detail-oriented, and able to prioritize multiple tasks efficiently.
  • Professional attitude with the ability to work independently and collaboratively.
  • Experience in real estate, property management, or corporate administration is an asset.

Nous sommes à la recherche d'un(e) adjoint(e) exécutif(ve) hautement organisé(e) et proactif(ve) pour soutenir notre PDG. Ce poste joue un rôle essentiel dans le bon fonctionnement du bureau de direction et nécessite une personne minutieuse, capable de gérer plusieurs tâches à la fois. Le/la candidat(e) idéal(e) possédera de solides compétences administratives et saura gérer efficacement diverses responsabilités.

Responsabilités

  • Fournir un soutien administratif et opérationnel direct au PDG.
  • Coordonner et gérer l'agenda, les réunions et les déplacements du PDG.
  • Préparer des rapports, des présentations et de la correspondance au nom du PDG.
  • Traiter les informations confidentielles avec discrétion et professionnalisme.
  • Assurer la liaison avec les locataires, les partenaires et les équipes internes.
  • Participer à la coordination des projets de gestion immobilière et des projets corporatifs.
  • Effectuer des tâches générales de gestion de bureau, au besoin.

Expérience et compétences

  • Expérience confirmée dans un poste administratif, idéalement en soutien à la direction.
  • Bilinguisme (anglais et français) requis, avec d'excellentes aptitudes en communication écrite et orale.
  • Maîtrise des systèmes Apple macOS et iOS, ainsi que de la suite Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellente organisation, grande attention aux détails et capacité à gérer plusieurs priorités efficacement.
  • Attitude professionnelle, autonomie et aptitude à travailler en équipe.
  • Une expérience dans le domaine de l'immobilier, de la gestion immobilière ou de l'administration corporative constitue un atout.
