Position Summary
We are seeking a Document Control Specialist to join our Operations team. This role plays a critical part in managing and organizing technical documentation, ensuring compliance with quality standards, and supporting project workflows. The ideal candidate will bring strong administrative experience, attention to detail, and a proactive approach to problem-solving.
Key Responsibilities
- Register, track, classify, and distribute electronic and hard copy documents including drawings, specifications, and vendor documentation
- Build and update unit manuals and client drawing packages
- Maintain records management systems and archive project documentation
- Coordinate meetings with clients and project managers, track minutes, and ensure documentation is complete
- Create rating plates with ETL-approved logos and affix them to control panels
- Compile supplier equipment data manuals and manage online project data archives
- Perform internal QA and manufacturing audits
- Prepare and maintain quality management documentation
- Update marketing materials and bill of materials
- Take and catalog unit photos for quality assurance
- Report defects and ensure compliance with standards and regulations
- Other duties as required
Qualifications
- Diploma or degree in Business Administration or equivalent experience
- 2–3 years of experience in document control administration
- Electrical background or trade skillset is an asset
- Certification in manufacturing or quality control is an asset
- Experience in construction and/or oil and gas industry preferred
- Proficiency in Microsoft Office and Adobe
- Strong time management, planning, and organizational skills
- Excellent communication and decision-making abilities
- Ability to work across diverse projects and meet multiple deadlines
