Job Summary:

The Primary purpose of the Document Control Clerk is to be directly accountable for the Document & Records Management function within the Quality Department, including Document Control activities at other sites, and Control Quality Systems and relevant Document & Records Management Systems.

Direct Accountabilities:

  • Scan and file daily records.
  • Assist in locating legacy records (on & off site).
  • Lead continual improvement projects based on outcome of analysis of data, corrective and/or preventative actions, etc. in accordance with company's procedures (e.g., new storage solutions, new scanning solutions, etc.).
  • Digitization of legacy records (paper, microfilm, microfiche, & aperture cards).
  • Backfill Document Control when necessary.
  • Help with training new hires on current processes, procedures and EDMS.
  • Maintain up to date document control procedures (work instructions and forms).
  • Support third party audits, including managing of required corrective action plans for Document Control & Records Management findings as applicable.
  • Manage the day-to-day control of document systems (Electronic Storage, Hardcopy Storage, Printers, Plotters, Mylars distribution and control, etc.) Electronic Storage software training, software and hardware upgrades.
  • Maintain weekly priorities, while monitoring KPI's for document control to meet service level expectations of departments using document control services.

Indirect Accountabilities:

  • Recommend changes in rules, policies, standards, and regulations, based on knowledge of operating conditions, improvements, and other factors.

Education required (Topic, degree, Training topic or hours, etc.):

  • High school diploma or equivalent.
  • Post-secondary education preferred.

Experience Required

  • 3+ years in document & records management preferred.
  • Excellent paper and electronic filing skills.
  • Proficient in document scanning processes.
  • Proficient in word, excel, outlook, and Adobe Acrobat.
  • Familiar with EDMS (Adept, Laserfiche, Kodak).
  • SharePoint experience.
