Clinic Administrator at Massage Addict – Dufferin & Steeles Location, Toronto

Our multi-practitioner wellness clinic, located at Dufferin and Steeles in Toronto, is looking for a friendly and organized Clinic Administrator to join our Massage Addict team. As the first point of contact for our clients, you will play a vital role in creating a welcoming environment and driving the growth of our clinic through outstanding service and proactive promotion of our membership program.

Massage Addict is Canada's first and largest membership-based massage therapy provider, offering high-quality therapeutic services across over 100 clinics nationwide. Our Dufferin and Steeles location in Toronto provides a variety of wellness services, including massage therapy, chiropractic care, acupuncture, and reflexology. Our mission is to help clients improve their health and well-being through our professional services, provided by a team of experienced practitioners. Key Responsibilities:

  • Clinic and Client Administration: Administer and maintain digital client records with a high attention to detail. Ensure accuracy of documentation. Pristine records management; including issuing, updating, and review.
  • Customer Service and Sales: Greet and welcome clients with a positive attitude. Proactively promote services and our membership program; booking appointments and signing up members to meet sales targets. Encourage clients to leave positive reviews and share their experience with others.
  • Administrative Duties: Schedule appointments and maintain accurate client records. Complete all forms and documentation for new and existing clients efficiently and accurately.
  • Insurance and Billing: Process insurance claims, verify insurance coverage, and handle billing inquiries. Explain billing procedures to clients clearly and professionally. Process membership payments, run daily financial reports, and reconcile daily transactions.
  • Clinic Operations: Ensure the reception, treatment rooms, and other guest-facing areas of the clinic are clean and welcoming. Support a smooth workflow by coordinating with practitioners and other staff. Wash and fold all linens, ensuring supplies are stocked and available for all practitioners.
  • Marketing Support: Assist in promoting the clinic through digital platforms and social media. Actively encourage positive client feedback and manage the clinic's online reputation.

Qualifications:

  • Customer Service and Sales Experience: A minimum of 2-3 years in a customer-facing role, particularly in a healthcare, wellness, fitness, or similar setting. Experience in sales an asset.
  • Administrative Skills: Proven ability to handle administrative tasks, including filing, managing paperwork, and scheduling. Proficiency with Microsoft Office, Outlook, and scheduling programs required. Clinic administration experience is a requirement.
  • Insurance and Billing Knowledge: Experience with insurance billing or claims processing is required. Familiarity with medical office administration, and handling confidential client records is essential. Experience in digital records management an asset.
  • Interpersonal Skills: A bubbly, polite, and professional demeanor with excellent communication skills. Ability to create a welcoming atmosphere and interact positively with clients.
  • Digital Marketing Skills: Familiarity with digital platforms and experience encouraging online reviews is a plus. Capability to promote the clinic and its services through various social channels.
  • Flexibility and Multi-Tasking: Ability to manage multiple responsibilities in a fast-paced environment. Adaptable and capable of handling diverse tasks simultaneously.
  • Team Player: A collaborative mindset and ability to work well in a team environment. Willingness to support colleagues and contribute to a positive workplace culture.
