Receiving and routing telephone calls, greeting and directing visitors and contractors as appropriate. You will also be responsible for providing routine information and responding to inquiries from clients, visitors, and staffSorting and distributing incoming and outgoing mail; distributes forms, reports and other documents to appropriate personnel and/ or department(s)Performing a wide variety of typing assignments as required, some being confidential in natureEstablishing, maintaining, processing, and updating files, records and other documents as well as maintaining client discharge filesPerforms basic, routine bookkeeping functions, which involves petty cash reconciliation, clothing allowance and trust deposits, and payments on resident accountsMay book resident medical appointments and arranges transportationResponds to all resident issues/situations promptly and takes appropriate action to rectify concernsUtilizes supplies and equipment in a responsible way e.g. follows manufacturers guidelines in the use of equipment.Monitors fire alarm panel, security alarm panel and front door and follows safety and security duties as per facility policyAdditional duties as requiredAbout You
High School Diploma or equivalentAn approved 2-year Office Administration / Professional Secretarial diploma or university degree (i.e. Bachelor of Secretarial Science)Two (2) years of related experienceKnowledge of general office procedures and equipmentAbility to operate personal computers including various software packages including Word, Excel, Power Point, MS Publisher and various database software applicationsAbility to maintain confidentiality of records and informationStrong resident focus and a positive attitudeDemonstrated ability to interact positively with othersAbility to work a schedule of flexible hours/shifts inclusive of days, evenings, weekends and holidaysAbility to type 80 words per minute considered an assetAbility to work with minimal supervision and prioritize work effectivelyPrevious experience working with seniors in a Retirement Living or Long-Term Care environment would be considered an assetAbout Us
