The Lac Ste. Anne Métis Community Association (LSAMCA) is the representative body for the historic and contemporary Lac Ste. Anne Métis (LSAM) community, an independent, vibrant Métis community. We are a section 35 (Constitution Act, 1982) Métis Aboriginal rights-bearing collective (otherwise known as a 'Powley' community) whose traditional territory encompasses present day west central and northwest Alberta.

As a kinship-based community, and with a strong sense of community and cultural identity, we participate in a shared culture inclusive of our distinctive customs and traditions, including the continued exercise of our Métis harvesting rights. These activities and way of life remain core to our identity as a modern-day, rights bearing Métis people.

Position Overview

Reporting to the Administrator, the Records & Information Clerk is responsible for supporting all departments to manage records through the stages of the information lifecycle. Hands on processing and planning of records classification, storage, imaging, collaboration disposition and archival selection is a major element of this role. The Records & Information Clerk will also work with LSAMCA departments to manage their records by providing coaching, guidance and training. Effective records and information management is core to the success of all LSAMCA departments.

Key Responsibilities

  • Review current and historical records and documents, sorting by originating department, business unit, and/or functions.
  • Provide hands on support and guidance to individual or small groups of LSAMCA employees on how to identify, capture and manage the business records they create either in paper or electronic form.
  • Index records using a computer inventory list (spreadsheet) or database, including assigning classification codes, date ranges, departmental owners and other metadata where applicable.
  • Oversee the transfer of hard copy records from departmental offices and offsite storage locations to the centralized records and archives vault.
  • Oversee the management of files in storage, including filing, boxing, allocating space, updating databases and lists, and preparing records for disposal in compliance with approved records retention and disposition schedules.
  • Perform target searches, as required, for records (e.g. reports, agreements) in support of LSAMCA departments.
  • Respond to charge-out requests from departments, retrieving records from storage, tracking file circulation, refiling records when returned.
  • Imaging (scanning) records for circulation, protection and in support of projects to transition records management from paper to electronic.
  • Work with departmental staff on improved records management processes, policies, procedures, systems and best practices that comprise a comprehensive records program for the LSAMCA.
  • Participate in team planning and capacity building through process improvement, identifying risks, opportunities, and issues.
  • Provide guidance and collaborate with consultants for special projects as needed.
  • Other assigned duties as required by departments.

Qualifications

  • Post-secondary education in Records Management, Office or Business Administration or a related discipline.
  • Experienced in supporting others to successfully follow processes and governance.
  • Skilled in creating and maintaining document classification and records governance frameworks.
  • A comprehensive and progressive understanding of the aspirations of Indigenous communities and demonstrated modeling of cultural awareness and sensitivity.
  • Proficient in Microsoft software, including SharePoint.
  • High level of integrity and professionalism including as pertains to handling confidential or sensitive information.
  • Effective analytic and problem-solving skills.
  • Strong team player with excellent team building skills.
  • Effective written and oral communications skills.
  • Proven reliability and punctuality.

Assets

  • Knowledge of or background in working with databases is an asset.
  • Knowledge of Lac Ste. Anne Métis history is an asset.
