Job Summary

We are seeking an experienced and highly organized Dental Office Manager to oversee the daily operations of our dental practice. The ideal candidate will possess strong leadership skills, extensive knowledge of medical office management, and proficiency with dental-specific software such as Paradigm and Dentrix. This role involves managing staff, ensuring compliance with healthcare regulations, and maintaining efficient office workflows to deliver exceptional patient care. The Dental Office Manager will serve as a vital link between clinical staff, administrative personnel, and patients, fostering a professional and welcoming environment.

Duties

  • Supervise and coordinate daily office operations, including scheduling, billing, and patient records management
  • Oversee fiscal management tasks such as budgeting, financial reporting, and managing accounts receivable/payable
  • Ensure compliance with HIPAA, JCAHO standards, and other healthcare regulations to protect patient confidentiality and maintain accreditation standards
  • Manage human resources functions including hiring, training, performance evaluations, and staff development
  • Utilize dental EMR/EHR systems such as Paradigm, Dentrix, eClinicalWorks, and Epic for accurate record keeping and documentation
  • Oversee medical administrative support functions including appointment scheduling, patient check-in/out procedures, and insurance claims processing
  • Monitor clinic operations to optimize workflow efficiency and improve patient satisfaction
  • Collaborate with clinical staff on practice management strategies and quality improvement initiatives
  • Maintain up-to-date knowledge of medical terminology, managed care policies, and healthcare management best practices
  • Assist in acute care coordination when necessary and support nursing or veterinary experience if applicable

Requirements

  • Proven experience in medical or dental office management with a strong background in healthcare administration
  • Proficiency with dental practice management software such as Paradigm and Dentrix; familiarity with other EMR/EHR systems like eClinicalWorks or Epic is a plus
  • Demonstrated supervisory experience overseeing office staff in a healthcare setting
  • Knowledge of HIPAA regulations, medical records management, billing procedures, and healthcare compliance standards
  • Strong fiscal management skills including budgeting and financial oversight
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional communication skills to liaise between clinical staff, patients, vendors, and external agencies
  • Background in medical terminology, acute care or hospital experience is advantageous
  • Ability to adapt to evolving healthcare regulations and technology systems
