We are Seeking an Innovative and Collaborative Payroll and HR Administration Coordinator:

Financial sustainability and investing in our people are foundational to Today's Family's ability to grow and respond to the increasing demand for child care across our communities. This role plays a critical part in both areas. By providing accurate, timely payroll administration and strong HR administrative support, the Payroll and HR Administration Coordinator contributes to operational excellence, positive staff experiences, and the organization's ability to deliver on its Mission, Vision, and Guiding Values, a place for every child to experience the joy of learning through play.

This role works collaboratively across Finance, People and Operations, supporting staff, leaders, and providers through responsive service, strong systems, and continuous improvement.

The Payroll and HR Administration Coordinator is responsible for the day to day administration of payroll across the agency, while also providing HR administrative support across key people processes such as onboarding, employee records, reporting, and compliance.

The role works closely with HR leadership, acting as a connector between payroll, HR administration, and operational teams, ensuring accuracy, confidentiality, and alignment with legislation, policies, and best practices.

Key responsibilities include:

  • Administer full cycle payroll processing for multiple payroll groups, including reconciliation and record maintenance
  • Administer provider payroll, including required reporting and year end processes
  • Ensure payroll accuracy, compliance, and alignment with provincial and federal legislation and internal controls
  • Serve as the primary point of contact for staff payroll inquiries, providing timely and confidential support
  • Maintain and update payroll and HR systems, ensuring data integrity across platforms
  • Process employee changes including hires, role changes, leaves, and terminations in alignment with payroll and HR processes
  • Support HR administrative functions including onboarding, offboarding, and employee records management
  • Coordinate and support orientation and onboarding activities for new staff
  • Prepare payroll and HR related reports and support audits and compliance requirements
  • Develop and maintain clear payroll and HR administrative resources and documentation
  • Collaborate with Finance, HR, and Operations to support efficient workflows and strong communication
  • Identify and implement opportunities for continuous improvement across payroll and HR administration

Qualifications and Experience:

  • Alignment with and passion for Today's Family's Mission, Vision, and Values
  • Interest in working within a not for profit, charitable organization serving children, families, and communities
  • Post secondary education and or equivalent experience in Payroll, Accounting, Finance, or Human Resources
  • Payroll Certification or CHRP designation in progress is an asset
  • 3 to 5 years of experience in payroll processing, ideally within a multi site or not for profit environment
  • Working knowledge of payroll and HR systems, including UKG Pro
  • Strong understanding of payroll legislation and foundational HR practices
  • High level of organizational and administrative skills with strong attention to detail and deadlines
  • Demonstrated ability to handle confidential and sensitive information with discretion
  • Strong communication, collaboration, and interpersonal skills
  • Proficient in MS Office, particularly Excel, with experience preparing reports and reconciliations
  • Ability to manage competing priorities independently while remaining flexible and solutions focused
