Harvest has an immediate opening for a Business Administrator, A&D, reporting to the VP, Strategy and A&D/Manager, A&D. This is a temporary full-time position based out of the Calgary Corporate Office.

Job Duties:

VDR

  • Accessing the cloud-based Virtual Data Room service provider so as to facilitate the sharing of confidential and sensitive documents for financial transactions, procurement, and more - by performing the following duties:
    • Creating, editing, and terminating cloud based projects as part divestment processes
    • Creating, editing, and organizing electronic data and various reporting for disposition or business development purposes
    • Adding and inviting VDR users as needed from inside and outside of the firm
    • Adding and removing files, folders, and documents to the custom-branded data room
    • Following up with relevant staff to ensure that necessary documentation is provided and evidenced in the VDR
    • Maintaining security of confidential and sensitive documents via the effective application of electronic security settings
    • Downloading and organizing highly confidential documents from outside cloud-based Virtual Data Rooms, and notifying in-house users
    • Communicating with VDR users to troubleshoot computer access issues to VDRs

Confidentiality Agreements:

  • Receiving, recording, organizing, and storing numerous confidentiality agreements, while maintaining a record of the company's contact information, along with the CA's expiry date, affected lands, important clauses and any existing AOE/AMI's
  • Recording AOE/AMI's into system for further appropriate tracking
  • Requesting the return of confidential information and the destroying of any work papers, after CA expiry periods

A&D File Management (Physical and Electronic):

  • Upon confirmation of a transaction, gathering all required physical files into an A&D staging area for due-diligence, pre-closing, and post-closing purposes
  • Coordinating the gathering of electronic data and organizing into folders for due diligence and transfer post-close, into SharePoint or other designated software system
  • Coordinating the transfer of physical and electronic files to the purchaser after closing, including preparation of file transmittal, coordinating arrival of carts, loading of files and transmission to purchaser, including building loading dock access on larger transactions

    • Upon closing a transaction, ensuring that the electronic file is set up/scanned into SharePoint, according to set up process
  • Removing historical A&D files from offsite storage, scanning into electronic system (SharePoint or other electronic data system), and arranging for the permanent destruction of files once scan has been completed and confirmed
  • Updating systems to reflect dispositions as required
  • Assisting on an as-required basis, to copy and/or scan files, according to Harvest process

Other:

  • Creation of maps for A&D or other business development purposes in Accumap
  • Assisting with the creation of "teasers" as part of the divestment process
  • Assisting with Power Point presentations and data required
  • Providing efficient and accurate word, excel processing support when needed
  • Assisting in preparations for closings as required, including sorting documents as directed 
  • Gathering documents or other data for audit purposes (both internal and external)
  • Other duties may apply, as required

Qualifications:

  • Minimum 2 years' experience in a similar role, preferably with certification in petroleum land, data management or other oil and gas certificates
  • Preference to candidate with strong data management experience
  • Knowledge of industry land practices and procedures
  • Knowledge or willingness to learn interaction of industry departments within a company and data collection from various departments for A&D/business development purposes
  • Microsoft Office applications Outlook, Word, Excel, Access, Power Point, SharePoint
  • Applications CS Explorer (incl. CS Projects), Qbyte, Optix, AbaData and Accumap applications
  • Exposure to regulatory systems (ETS, OneStop, Kermit etc)
  • Must be able to maintain confidentiality of sensitive information
  • Willingness to grow and learn new responsibilities within the A&D team
  • Demonstrated ability to effectively handle and prioritize competing demands with short deadlines
  • Effective problem solving and analytical skills, with a high level of accuracy and attention to detail
  • Must be able to physically move files, pack, and organize same for transactions.
  • Excellent communication, interpersonal, and organizational skills to be able to work independently and as part of a team
