About the Role

External Affairs Medical Spa — a leader in medical aesthetics since 1995 — is expanding to Kelowna and seeking an experienced Customer Service Representative to join our growing team.

You'll be the first point of contact for clients, ensuring every visit reflects our standard of excellence. If you're organized, personable, and thrive in a dynamic clinic environment, we want to hear from you.

What You'll Do

  • Handle inbound and outbound calls to manage appointment bookings and confirmations
  • Maintain expert knowledge of EA's services, treatments, and products to support client inquiries
  • Review daily schedules and ensure treatment rooms are prepared and stocked
  • Greet clients on arrival, guide them through forms, and verify documentation
  • Generate invoices, process payments, and reconcile end-of-day sales
  • Assist with client retention and rebooking efforts
  • Collaborate with the Clinic Manager and clinical staff to ensure smooth operations

What We're Looking For

  • 2+ years of customer service experience, preferably in medical, beauty, or wellness settings
  • Exceptional communication skills — professional, friendly, and articulate
  • Strong multitasking and organizational ability with meticulous attention to detail
  • Proficiency in Google Workspace, Microsoft Office, and scheduling platforms (Zenoti experience an asset)
  • Demonstrated problem-solving skills and a genuine interest in aesthetics and wellness
  • Relevant coursework or certifications in customer service, administration, or aesthetics are a plus

This position reports directly to the Clinic Manager (Kelowna).
