The School of Media and Information Technology is seeking a highly organized and detail-oriented Contract Coordinator to support instructor hiring, contract administration, scheduling, and revenue generating activities across the school. This role plays a key part in coordinating casual instructor assignments, supporting onboarding, monitoring section efficiency, and providing accurate reporting that informs school planning and financial decisions. The Contract Coordinator works closely with program leadership, administrative staff, HR, and the AQOE team to ensure smooth operational processes across credit, non credit, and open studies programming.
Key Responsibilities:
- Coordinate casual instructor hiring, onboarding, and assignments in collaboration with the AQOE team, HR Contract Assistant, and school administrative staff.
- Support recruitment activities including identifying and pre-screening candidates.
- Maintain an active database of casual instructor candidates, including identifying and pre screening potential new instructors.
- Lead, manage, and coordinate all revenue generating and short-term instructional contracts for the school.
- Support predictive modeling, resourcing, and forecasting for new and existing course sections.
- Participate in Phase 1 and Phase 2 scheduling conversations and advise leadership on course frequency, evening additions, and section planning.
- Prepare monthly break-even updates and contribute to semester to semester and year to year performance and financial reporting.
- Monitor section efficiency, fill rates, break even calculations, and other key program metrics.
- Work with Program Leadership on part time credit, open studies, and non-credit programming, supporting academic processes, program quality, instructor support, and scheduling.
- Provide technical, financial, and contractual support to school leadership and administrative teams.
- Ensure accuracy and timeliness in contract administration and compliance with NAIT policies and procedures.
- Make informed recommendations and exercise judgment when interpreting data, financial reports, scheduling pressures, and recruitment needs.
- Identify operational problems, propose solutions, and support process improvements across scheduling, contracting, and hiring workflows.
Skills & Abilities:
- Strong organizational, analytical, and time management skills.
- Ability to handle multiple priorities and deadlines in a fast-paced environment.
- Excellent communication and collaboration skills with diverse stakeholders.
- Understanding of academic scheduling, financial tracking, and contract administration.
- Ability to interpret and apply policies, procedures, and guidelines.
- Strong problem-solving skills, including the ability to evaluate issues and propose effective solutions.
- Comfort with data analysis, reporting, and problem solving.
- Ability to recommend and implement improvements to administrative processes.
- Proficiency with MS Office applications and related scheduling or financial systems.
- Experience supporting recruitment processes is an asset.
Qualifications:
- Post secondary certificate or diploma in a related field; a combination of education and experience may be considered.
- Minimum three years of related administrative, coordination, or operational experience.
- Experience with contract administration, scheduling, financial reporting, or program coordination is an asset.
- Experience in an academic or complex operational environment is an advantage.
Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services (WES), International Qualifications Assessment Service (IQAS) or the Comparative Education Services (CES).
Remuneration: $65, $88,144.94 annually, plus a comprehensive benefits package. (Classification – Coordinator I).
This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement
