Job Summary

We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. The ideal candidate will be responsible for managing front desk operations, providing exceptional customer service, and supporting administrative functions across various departments. This role requires strong communication skills, proficiency in office software, and the ability to handle multiple tasks efficiently in a fast-paced environment.

Duties

  • Greet visitors and clients in a courteous and professional manner at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
  • Schedule appointments, meetings, and coordinate calendars for staff and management
  • Handle filing systems, document organization, and ensure confidentiality of sensitive information
  • Assist with billing, bookkeeping, and basic financial record keeping as needed
  • Support office operations by preparing correspondence, proofreading documents, and managing mail distribution
  • Provide customer support by addressing inquiries both in person and via phone or email
  • Maintain a clean and organized reception area to create a welcoming environment

Skills

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks and basic bookkeeping functions
  • Strong computer skills including data entry, document proofreading, and file management
  • Excellent customer service skills with professional phone etiquette
  • Clerical experience with filing systems and administrative support tasks
  • Ability to handle multi-line phone systems efficiently and professionally
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Typing speed of at least 50 WPM with accuracy
  • Previous medical or dental office experience is a plus but not required; familiarity with medical/dental terminology is advantageous
  • Knowledge of office procedures including appointment scheduling and record keeping
