Position Overview
The Executive Assistant & Office Support role provides high-level administrative, organizational, and operational support to the Owner and leadership team, ensuring smooth day-to-day execution of priorities and strategic initiatives. This position is responsible for managing calendars, communications, documents, and follow-through on key tasks, while also supporting office operations, vendor coordination, and internal team needs.
The ideal candidate is a mature, trustworthy professional who embodies Ironwood's values of craftsmanship, integrity, accountability, and exceptional service. They are highly organized, proactive, and able to think clearly under pressure, anticipating needs and staying several steps ahead to support the Owner and leadership team. This person is adaptable, resourceful, and comfortable managing a wide range of responsibilities—from executive support to office coordination—while maintaining consistent accuracy and follow-through. Minimum Requirements
- Strong administrative and organizational skills, with the ability to manage calendars, email correspondence, documents, and multiple priorities efficiently.
- Exceptional written and verbal communication, including the ability to draft professional emails, letters, summaries, and internal documents.
- High level of professionalism, discretion, and trustworthiness when handling confidential company, financial, and personnel information.
- Ability to work independently and proactively, anticipating needs, prioritizing tasks, and supporting leadership without constant direction.
- Proficiency with office software and digital file management, including word processing, spreadsheets, and organized folder structures.
- Strong prioritization and time-management abilities, especially in a fast-paced environment with shifting demands.
- Team-oriented mindset, with a willingness to support leadership, office staff, shop operations, and company-wide initiatives.
- Clear judgment and the ability to remain calm, organized, and solution-focused under pressure.
Preferred Experience (Not Required)
- Experience in the construction, manufacturing, trades, or a project-based environment.
- Background in building systems, processes, or administrative workflows.
- Event coordination experience.
- Customer service or client-facing experience.
- Basic understanding of financial or administrative documents.
Compensation & Benefits
Salary Range: $65,000–$85,000/year
