What we're looking for:

The Accounting Assistant will report to the Accountant, and is directly responsible for performing data entry and related duties in posting accounts receivable payments. This includes maintaining, credit balances, and resolving account irregularities. The Accounting Assistant will also administer claims, refunds, adjustments, and any other accounting transactions related to A/R management. This position involves interaction with customers to provide billing information and support in order to facilitate swift payment of invoices due to the company. The Accounting Assistant is directly responsible for performing data entry and related duties in disbursing non-payroll accounts payable to individuals, suppliers, corporations, and other entities.

Duties and Responsibilities:

Accounting:

  • Recording AP invoices into the system/ Managing AP Statements
  • Check runs for US and Canadian vendors
  • Daily deposit
  • Reviewing and managing AR statements
  • Flooring new units
  • Managing multiple GL accounts (parts liability/sublet/unsubmitted warranty)
  • Reviewing/manage payroll timesheets for hourly employees
  • Posting Visa purchases/ reviewing statements
  • Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its customers.
  • Investigate and resolve billing discrepancies or misapplied cash transactions.
  • Obtain approval for disbursements and ensure that expenditures do not exceed available cash.
  • Verifies that orders are charged to the proper accounts.
  • Review bills to the company for potential errors and/or discrepancies.
  • Review all credit balances, refunds, and adjustments, and apply adjustments and/or corrections to corporate billing records
  • Applying warranty payments to claims
  • Applying payment to SGI insurance claims

Admin:

  • Creating unit files for new and used units
  • Inputting correct data for trades/buybacks/new (cost, options, vin, etc.)
  • Casual reception duties
  • Storage program maintenance/management - creating agreements, renewing all active contracts at end of year, removing old customers, sending letters out
  • Filing customer files (labelling, organizing, managing)
  • Ordering office supplies
  • Inform via email of trade-ins (sales/finance/service/marketing)

Misc:

  • Data entry for year end parts inventory
  • Organizing reports for year end parts count
  • Errands (picking up/distribute mail, bank deposit, bank loan payout, etc.)
  • Provide support to road service for SAL contracts
  • Other duties as assigned by management

Core Competencies and Qualifications:

  • 2 years of similar experience in the RV or automotive industry would be an asset
  • Knowledge of provincial, and federal tax laws
  • Ability to use Microsoft Excel and relevant accounting software
  • Ability to keep company financial records confidential
  • Excellent interpersonal, analytical, problem-solving, decision making, and time management skills.
  • Effective professional verbal and written communication
  • Keen attention to detail and high level of accuracy
  • Ability to work together with others
