We are seeking a detail-oriented and organized part-time Accounts Payable Assistant with mandatory experience in QuickBooks Online. The ideal candidate will have experience in accounts payable, a strong familiarity with Canadian AP processes, prior exposure to the construction industry, and experience with Salesforce. This role will support our accounting and operations teams by ensuring accurate vendor management, inventory reconciliation, timely expense processing, and payroll data entry.

ResponsibilitiesAccounts Payable & Vendor Management

  • Process and code vendor invoices in QuickBooks Online accurately and in a timely manner.
  • Perform vendor account reconciliations, resolve discrepancies, and maintain up-to-date vendor files.
  • Coordinate with internal project teams and vendors to clarify invoice or PO issues.
  • Maintain and organize AP documentation, receipts, and supporting records.

Inventory & Purchase Reconciliation

  • Complete inventory purchase reconciliations to ensure alignment between purchase orders, packing slips, and invoices.
  • Monitor and report variances or errors in inventory purchases.
  • Support the month-end close by preparing and reconciling AP and inventory-related entries.

Payroll & Expense Administration

  • Enter payroll-related data accurately for processing
  • Process travel expenses, project expenses, and employee reimbursements.
  • Verify supporting documentation for all expense submissions and ensure compliance with company policies and procedures.
  • Support with other tasks if assigned by Manager

Systems & Reporting

  • Use Salesforce for project-related data entry and information tracking (asset, job, or project-related inputs).
  • Generate basic AP and expense reports for Management as needed.
  • Support continuous improvements to AP processes.

Education and qualifications:

Required

  • Secondary degree in Accounting, Finance, or a related field
  • Minimum 1 year of experience in Accounts Payable or a similar accounting support role
  • 2 years of experience with QuickBooks Online
  • Familiarity with Canadian AP practices, tax rules, and payroll.
  • Proficient in Microsoft Excel and Google Sheets.
  • Excellent accuracy, organizational skills, and attention to detail.
  • Ability to work in a fast-paced environment with competing deadlines.
  • High level of integrity and confidentiality
  • Strong communication and teamwork

Nice-to-have

  • Experience in the construction industry (field tickets, POs, job costing, inventory).
  • Experience using Salesforce, Mavenlink
