About the Role

We are seeking a highly organized and detail-oriented Assistant to support ONIT's accounting, project administration, and day-to-day operational needs. This role is ideal for someone who enjoys multitasking, maintaining order in a fast-paced construction environment, and helping keep financial and project documentation running smoothly. Part-time hours with flexible scheduling.

Key Responsibilities

Accounts & Documentation

  • Create binders for new projects, including printing project information, PO's, and vendor documents.
  • Maintain organized accounting records for invoices, receipts, and supporting documents.
  • Assist with purchase orders (POs) and track confirmations from suppliers.
  • Assist with correcting or resubmitting documentation as requested.

Project Administration

  • Prepare weekly office inspection reports and assist with upcoming schedule documentation.
  • Help prepare and assemble project packages for tendering, meetings, or client submissions.
  • Coordinate pick-ups, deliveries, and small errands when needed.

Office & Operational Support

  • Communicate with suppliers and subcontractors to gather missing or corrected documents.
  • Monitor project-related emails, follow up on outstanding paperwork, and ensure files remain current.

Requirements

  • Strong organization skills with the ability to manage multiple tasks simultaneously.
  • Comfort with data entry, printing/scanning, and maintaining digital & physical files.
  • Proficient with email communication and basic office software (Outlook, PDF tools, Excel/Sheets).
  • Professionalism, attention to detail, and strong follow-through.
  • Valid G-class license and personal vehicle.
  • Construction or office administration experience is an asset but not required.

Work Type / Schedule

  • Part-time: 20–24 hours per week.
  • On-Site: Burlington office.

Compensation

  • $ per hour.
