General Accountabilities:
Reporting to the Director, People & Culture, the Payroll & Total Rewards Specialist works closely with the People & Culture team, leaders across the business, employees, external vendors, and industry peers, and serves as a trusted operational and advisory resource for employees on payroll, benefits, and people-related processes.
The Payroll & Total Rewards Specialist is responsible for the accurate and compliant delivery of payroll and benefits, while also providing hands-on support across key People & Culture programs including onboarding and offboarding, performance and goal-setting administration, job documentation, and compensation and total rewards coordination.

Through strong administration, thoughtful problem-solving, and participation in industry networking and forums, this role helps strengthen both our internal culture and our external relationships within the broader community and energy sector.
Key Accountabilities:
Payroll & Compliance
- Own and administer all aspects of payroll for office, field, and Board payrolls using Dayforce HCM, ensuring accuracy, timeliness, and legislative compliance.
- Investigate payroll discrepancies, resolve issues, and escalate risks or concerns as required.
- Support field personnel with time entry and payroll-related inquiries.
- Collaborate with the Accounting and Finance teams to provide regular reports as needed.
- Lead year-end payroll activities including taxable benefit reconciliation, WCB reporting, and issuance of statutory tax slips.
- Ensure ongoing compliance with provincial and federal payroll, employment standards, and taxation legislation.
- Identify and implement opportunities to improve payroll processes and controls.

We are currently in the midst of a payroll system migration from Ceridian PowerPay to Ceridian Dayforce HCM. We anticipate the payroll portion of this project to be completed by April 2026.
We ideally would like the preferred candidate to be able to start in April or sooner
in order to have sufficient time to cross train with the current incumbent, who is retiring at the end of May 2026. As a result, the selected candidate will be initially responsible for developing and creating internal payroll process documentation for the new payroll system.
Benefits & Total Rewards Support
- Serve as the primary point of contact for the company's benefits providers.
- Administer benefit enrollments, changes, and terminations, including complex or non-routine employee issues.
- Review benefit invoices, reconcile discrepancies, and manage required documentation.
- Support total rewards initiatives including compiling and submitting annual compensation surveys to the Mercer Total Compensation Survey (MTCS) for the Energy industry.
- Assist with compensation-related spreadsheet setup, analysis, and reporting.
- Collaborate with finance team to ensure they have the most up to date employee compensation information for budgeting and forecasting.
Talent, Onboarding & Performance Support
- Coordinate onboarding activities including drafting and issuing offer letters, preparing onboarding documentation, and managing system setup.
- Manage and coordinate all onboarding and offboarding activities for new hires and departing employees, collaborating with internal stakeholders (IT, Office admin, hiring managers) where needed.
- Support offboarding processes including internal notifications, system updates, and benefits cessation.
- Maintain and update job descriptions in alignment with organizational design changes.
- Support leaders with administration of performance reviews and goal-setting processes, including document preparation and tracking.
- Assist in researching and recommending learning and development opportunities when requested.
- Support the development and maintenance of training matrices and progression frameworks.
Reporting, Documentation & Projects
- Maintain accurate electronic employee files and people-related documentation
- Update organizational charts and people dashboards (e.g., turnover, new hires, workforce metrics)
- Compile data and support the creation of reports, graphs, and trends for leadership and Board materials
- Support People & Culture initiatives and projects as assigned.
External Engagement
- Represent the organization at relevant industry meetings and forums (e.g., Calgary Exchange Group, total rewards or payroll networks)
- Stay current on payroll, benefits, and people operations best practices and emerging trends.
Work Environment:
Flexible:
This position requires a regular presence on-site in our downtown Calgary office in order to support collaboration and day-to-day operations. We also recognize the importance of balance and offer flexibility in how work is scheduled to support personal and family needs. Must be comfortable commuting to the CSV office in downtown Calgary.
Collaborative
: This position is based in an open-concept office with your own dedicated cubicle space, offering a mix of collaboration and personal workspace.
Education and Experience requirements:
- Experience processing full-cycle payroll, performing payroll reconciliations, and managing year-end activities including taxable benefits and statutory reporting (T4s) is required.
- Experience in benefits administration and people operations/administration is required.
- Strong working knowledge of Canadian payroll legislation, employment standards, and taxation requirements is required.
- In position of Payroll Compliance Professional (PCP) designation is strongly preferred.
- Experience with Ceridian Dayforce HCM and Time & Attendance strongly preferred.
- Degree or diploma in Payroll, Human Resources, Business Administration or any related field is strongly preferred.
- Experience acting as the primary benefits vendor contact would be an asset.
- Experience supporting performance, compensation, or learning programs would be an asset.
- Experience in administering the Mercer Total Compensation Survey (MTCS) for the Energy industry or equivalent, would be an asset.
- Experience in midstream, energy, or industrial environments would be an asset.
