Event Specialist (In-Office)

Location: Toronto – Downtown – Fulltime role

$70,000 – 80,000 +

We are looking for an experienced and resourceful
Event Specialist
who is experienced in all things events The successful individual will support the planning, delivery, and administration of a wide range of events for both internal and external clients. This role is ideal for someone with strong organizational instincts, exceptional client service skills, and the ability to bring events to life with creativity and precision. This is a full-time
in-office position
.

About the Role

You will collaborate with stakeholders across the entire organization to deliver best-in-class events—from client receptions to company-wide initiatives. You'll be responsible for coordinating every detail, managing vendors, ensuring smooth logistics, and contributing to memorable, seamless experiences.

Key Responsibilities

  • Plan and execute client and internal events across multiple offices—overseeing venue selection, catering, alcohol service requirements, event set-up, guest reception, audiovisual needs, programs, communications, and travel logistics.
  • Source and recommend venues and vendors; act as the primary liaison to ensure all event components meet business needs and quality standards.
  • Coordinate event logistics including scheduling, invitation development, list management, and RSVP tracking.
  • Support the creation and editing of event-related video content, materials, and templates in partnership with internal stakeholders.
  • Track and monitor event budgets, maintain accurate cost records, and escalate anomalies or variances as needed.
  • Prepare post-event summaries including budget analysis, participant feedback, and recommendations for future improvements.
  • Stay current on event trends, venues, restaurants, and creative concepts, providing insights and recommendations.
  • Work closely with Marketing & Business Development teams to ensure consistently high service standards.
  • Provide backup support for managing corporate tickets (sporting and entertainment), branded merchandise, and event gifting.
  • Contribute to departmental projects and initiatives as required.

Qualifications

  • Post-secondary degree or diploma in business administration, events, communications, or a related field—or equivalent experience.
  • 3+ years of experience planning and executing events within a professional services environment.
  • Familiarity with Keynote, Adobe Creative Suite, and basic Photoshop is considered an asset.
  • Proficiency in MS Office; experience with CRM's
  • Comfort working with presentation and communication equipment (both built-in and portable).
  • Strong knowledge of food, beverage, and entertainment trends, including alcohol service regulations.
  • Exceptional client service mindset with the ability to manage competing priorities.
  • Strong communication skills and the ability to build rapport at all levels with professionalism and tact.
  • Strong organizational skills with the ability to meet tight deadlines.
  • Flexibility to work evenings, weekends, and occasional travel as required.
