As a key support role within the HSE team, the HSE Coordinator assists in the coordination and implementation of the Marcon HSEMS. They ensure that documentation and records are accurate and up to date, facilitate communication between HSE team members, and support the overall administration and coordination of HSE-related activities. A successful HSE Coordinator is highly organized, has excellent interpersonal skills and attention to detail, and is proficient with office software and business management systems.

The HSE Coordinator also manages workers' compensation claims and coordinates return to work programs. They ensure compliance with regulatory requirements and industry best practices and support workers throughout their recovery and reintegration into the workplace. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with a broad range of stakeholders.

About the role:

Oversee Injury Management Program

  • Act as primary point of contact for injured workers, providing support and guidance throughout the claim process.
  • Coordinate and manage all aspects of WorkSafeBC claims, from initial reporting to closure.
  • Ensure timely and accurate reporting of claim documentation and follow-up with all involved parties.
  • Maintain comprehensive and up-to-date records of all claims, communications, and other related activities, ensuring compliance with legal requirements and company policies.
  • Support projects on the development and implementation of modified work plans tailored to the needs to injured workers.
  • Work closely with injured workers, their supervisors, People and Culture, medical professionals, and claim managers to facilitate and encourage timely and safe return to work
  • Monitor the progress of injured workers' recovery and provide regular updates to relevant stakeholders.
  • Educate employees and management on workers compensation and the company Injury Management program
  • Monitor Procore Incidents, follow up with the site team and assistance as required, ensure reports are accurate, and if corrections are needed help complete them.

Support Corporate Team

  • Utilize Power BI, Procore and Excel to generate monthly incident information and other Key Performance Indicators for Marcon meetings, such as JOHSC and HSE meetings.
  • Conduct Office Safety Orientation for specific new hires, ensuring records are added to employees' personal file.
  • Record/inventory tracking of AED's, Gas Aid Detection Monitor Kits, Respiratory Fit Test Kits – arrange annual servicing as required.
  • Record meeting minutes in the appropriate platform (Sharepoint, Procore, etc.).
  • Balance manpower hours in Procore verses actual paid hours.
  • Upload documents to Sharepoint, such as Trade Partner programs, equipment manufacturer operation manuals and others, support in keeping the Safety SharePoint page up to date with relevant information.
  • Assist with annual COR audit process as required, support HSE team in gathering records needed.
  • Assist with the creation of Microsoft Forms and Power Automate Flows for Projects as part of Site Scan Management.
  • Support with the creation of material for Corporate Campaigns and Conferences, as needed.
  • Support with the subcontractor safety qualification process.

Support Projects

  • Support Site Safety Coordinators on HSEMS documentation as required.
  • Manage procurement and distribution of PPE and company templates (i.e. FLHAs, permits, tags, etc.).
  • Organize to send material requested via weekly deliveries (i.e. milk run).

Support Langley Office

  • Close out Langley Head Office monthly inspections completed by Reception in Procore.
  • Update the office safety board monthly to ensure relevant information is posted
  • Participate in the elaboration and implementation of the Langley office Emergency Response Plan.
  • Support in the development of safe work practices, safe job procedures and toolboxes for Langley Office.
