Overview

We are seeking a highly organized and detail-oriented Scheduling Coordinator to join our team. This role is vital in managing appointment schedules, coordinating with clients and staff, and ensuring smooth daily operations across our office. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. Experience in medical or dental office settings, along with familiarity with QuickBooks and Google Workspace, will be highly advantageous. This position offers an engaging environment where organizational excellence and customer service are paramount.

Responsibilities

  • Manage and maintain appointment schedules using scheduling software and Microsoft Office tools
  • Coordinate with clients, staff, and vendors to confirm, reschedule, or cancel appointments efficiently
  • Handle multi-line phone systems with professionalism and courtesy, providing exceptional customer support
  • Perform data entry tasks accurately, including updating client records and maintaining filing systems
  • Assist front desk operations by greeting visitors, managing inquiries, and supporting administrative tasks
  • Proofread correspondence and appointment reminders for accuracy and clarity
  • Support bookkeeping activities using QuickBooks for billing and invoicing purposes
  • Ensure the office environment is organized, including filing documents and managing paperwork
  • Provide excellent phone etiquette while handling inquiries via phone or email
  • Support medical or dental office operations by scheduling patient appointments and managing patient records as needed

Requirements

  • Proven experience in office administration, clerical work, or related roles; healthcare or dental office experience is a plus
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer skills including data entry, proofreading, and document management
  • Experience with QuickBooks or bookkeeping software preferred
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional customer service skills with professional phone etiquette
  • Ability to handle multi-line phone systems efficiently and courteously
  • Strong typing skills for accurate data entry and correspondence drafting
  • Prior experience in medical or dental reception is advantageous but not required
  • High school diploma or equivalent; additional administrative certifications are a plus

Job Type: Part-time

Pay: $14.00-$15.00 per hour
