We are seeking an Accounts Payable Manager to oversee timely, accurate processing of vendor and subcontractor invoices, compliance with contract terms, holdback and lien legislation, and proper cost allocation to projects. The AP Manager leads the AP team, strengthens internal controls, and collaborates closely with Project Managers, Estimators, and the Finance team to support efficient project delivery and cash flow management.

Responsibilities:

Accounts Payable Operations

• Manage the full accounts payable cycle, including invoice receipt, coding, approval, posting, and payment.
• Oversee processing of subcontractor progress billings, change orders, and final invoices.
• Ensure accurate application of cost codes to jobs, phases, and cost types.
• Review invoices for compliance with contracts, purchase orders, and pricing agreements.
• Monitor payment terms to maximize cash flow while maintaining strong vendor relationships.

Team Leadership & Process Improvement

• Supervise, train, and mentor accounts payable staff.
• Establish performance expectations, workflows, and approval matrices.
• Identify and implement process improvements to increase efficiency and accuracy.
• Develop and maintain AP policies, procedures, and internal controls.

Vendor & Internal Collaboration

• Serve as the primary escalation point for vendor and subcontractor inquiries.
• Work closely with Project Managers to resolve invoice discrepancies and approval delays.
• Partner with operations to align purchasing and payment processes.
• Ensure all vendor prequalification paperwork is in place for payment processing
• Maintain positive relationships with suppliers, subcontractors, and service providers.

Reporting & Reconciliation

• Prepare AP aging reports and cash requirement forecasts.
• Reconcile AP subledger to the general ledger monthly.
• Assist with month-end and year-end close activities.
• Provide AP data and analysis to management as required.

Requirements & Qualifications:

• 5+ years of progressive accounts payable experience, preferably within a construction setting
• 2+ years in a supervisory role
• Strong understanding of AP best practices and internal controls
• High attention to detail and accuracy
• Ability to manage high transaction volumes and tight deadlines
• Effective communication and interpersonal skills
• Proven experience leading and mentoring accounting team
• Excellent technical acumen with proficiency in ERP systems and Microsoft Office Suite
• Team player with a willingness to learn and adapt
