Job Overview:

The Quality-Inventory Hybrid Specialist
ensures inventory accuracy and compliance with quality standards by applying first principles of inventory management: accurate data, physical control, process discipline, visibility, compliance, and accountability. This role combines inventory control responsibilities with QA knowledge to maintain product integrity throughout the production lifecycle.

Key Responsibilities:

Inventory Accuracy & Control

  • Maintain real-time, accurate inventory records for all transactions (receipts, issues, returns).
  • Use actual measurements (weights, counts) instead of theoretical estimates for unit calculations.
  • Manage storage locations and enforce bin-level accuracy.
  • Segregate inventory by disposition (Released, Hold/Quarantine, Rejected).
  • Reconcile leftover or returned materials promptly and accurately.

Production Support

  • Stage materials for batch production and verify quantities using weight-based calculations.
  • Collaborate with production leads to confirm output inventory counts at batch completion.
  • Support line clearances as required in the absence of QA or designated personnel to maintain compliance.

Quality & Compliance Integration

  • Apply QA principles to inventory handling and ensure compliance with SOPs and regulatory requirements.
  • Link inventory transactions to batch records and product release status for traceability.

Process Discipline & Visibility

  • Follow standardized workflows for staging, picking, reconciliation, and cycle counting.
  • Support real-time visibility of inventory status through ERP or inventory systems.
  • Investigate and resolve discrepancies proactively.

Cross-Functional Collaboration

  • Work closely with QA, Production, Supply Chain, and Warehouse teams to maintain inventory integrity.
  • Provide input for continuous improvement of inventory processes.

Qualifications & Skills:

  • Diploma or degree in Supply Chain Management, Quality Assurance, Logistics or related field.
  • Additional training in inventory systems or QA principles is an asset.
  • 2–3 years of experience in inventory control, supply chain, or material handling.
  • Exposure to QA practices in a regulated environment (cannabis, pharma, food, or similar).
  • Experience with seed-to-sale inventory software such as Ample Organics, Elevated Signals, or similar platforms.
  • Strong understanding of inventory management systems and ERP software.
  • Proficiency in Microsoft Excel, including formulas, data validation, and logical functions.
  • Strong analytical and problem-solving skills with a software/logical mindset.
  • Proficient in basic math and weight-based calculations.
  • Ability to work independently and proactively solve problems.
  • Excellent attention to detail and organizational skills.
  • Strong communication skills for cross-functional collaboration.

Additional Requirements:

  • Willingness to work an afternoon or late-morning shift (e.g., 11:00 AM – 7:00 PM).
  • Comfortable working in a fast-paced, dynamic environment.
