Overall Purpose

Reporting to a designated Staffing Officer/Supervisor, the Staffing Assistant will be responsible for providing confidential administrative support to the Team.

Responsibilities will include researching and preparing reports/documents, taking minutes, maintaining computer and hard copy files, generating correspondence, responding to enquiries, liaising with employees, union representatives and supervisory personnel, gathering and analyzing information, and providing office automation/office management support.

Summary of Duties
  • Compose, edit and prepare correspondence including confidential human resources/labour relations communications.
  • Participate in staffing procedures including assisting with preparing postings and advertisements, collecting, compiling and preparing information for annual staffing surplus processes including running staffing formulas, assist with the placement of staff during annual staffing/surplus procedures, maintaining establishment numbers, etc.
  • Create, compile and/or maintain all databases including, maintaining and up-dating employee records on HRIS, creating and maintaining database of temporary employees and supply staff, creating and maintaining records related to the transfer/surplus process, etc.
  • Collect, record, compile, analyze and prepare information for reports and/or presentations, including confidential information.
  • Assist Officer and/or Administrator with the analysis, development, testing and implementation of reports and enhancements in HRIS.
  • Provide confidential support in grievance investigation and collective bargaining positions.
  • Research decisions and assist in preparing statistical analysis for grievances/arbitrations and staffing processes.
  • Respond to enquiries regarding policies and procedures of the Board, Collective Agreement provisions, People and Culture policies and protocols, staffing procedures, employment/labour legislation, etc.
  • Provide information and guidance to Principals and/or Managers regarding the policies and procedures related to staffing processes.
  • Provide leadership in fostering equity and inclusiveness in the development and implementation of programs and services.
  • Liaise with other Board staff, Union representatives, and/or legal counsel to access, acquire and exchange information.
  • Other duties as assigned.
Qualifications
  • Ontario secondary school diploma with an emphasis on Business Studies including computer courses, with a minimum of three years progressively responsible administrative experience in a Human Resources environment, or an equivalent combination of education and experience.
  • Advanced keyboarding and word processing skills including wordprocessing, spreadsheets, database applications, e-mail, Internet, and employee information systems.
  • Experience and ability to maintain and work with confidential information.
  • Proven ability to communicate effectively both orally and in writing.
  • Research skills needed to prepare confidential human resources reports/correspondence.
  • Experience working under pressure and multi-tasking, in order to meet frequent deadlines.
  • Strong organizational and analytical skills.
  • Proven ability in promoting equitable practices which value inclusiveness and diversity.
  • Knowledge and understanding of related Board and/or departmental policies and procedures and collective agreement provisions.
Special Requirements
  • Ability and willingness to work evenings and weekends with minimal or no notice.
