Job Description:
Primary Purpose
The Healthy Waterloo Initiative (HWI) Project Manager is accountable to the Director of the Healthy Waterloo Program. The Project Manager will manage day-to-day operations, program planning and development to ensure the successful implementation of the Healthy Waterloo program for the Faculty of Health. The candidate will play an all-encompassing role in coordinating administrative, outreach, marketing and event activities.
Key Accountabilities
Community Engagement
• Develop and manage the community engagement database.
• Represent Healthy Waterloo at university and community events and advisory groups.
• Coordinates and participates in campus visits, events, workshops and conferences
• Prepare publication pieces and promote Healthy Waterloo through web, news or social media.
• Prepare and deliver presentations at internal and external meetings
• Conduct and review market research to enhance participation in the program.
• Update and maintain the Healthy Waterloo website using WCMS3.
• Arrange for website photos and upload them to the website.
• Help plan and implement creative ideas to raise the profile and promote events.
• Develop guidelines to inform strategies, develop key messaging and positioning.
• Provide leadership to social media and other marketing requirements.
• Monitor social media presence.
• Respond to all inquiries and requests.

General Project Management
• Create project timeline and send reminders for due dates and deadlines.
• Organize and maintain appropriate mailing lists and email.
• Initiate and organize events, book space, arrange food, and attend to logistics at each event.
• Ensure the efficient and equitable use of facilities and booking of space.
• Support volunteers, event logistics and arrange for tech support at events.
• Act as the UW Liaison when coordinating with external stakeholders to ensure a successful event.
• Develop training materials for volunteers, faculty and staff.
• Coordinate the hiring of coop students and provide onboarding and training.
• Prepare offices and onboarding documentation for new coop students.
• Arrange for keys, fobs, and equipment as needed.
• Connect with Program Lead, and industry partners to ensure success of program
• Maintain program statistics to support the development of annual reports and documentation.
• Actively participate in strategy development and deployment
• Connect with and support internal and external partners to advance the goals of Healthy Waterloo
• Create and manage program, project and event timelines, including targets and milestones that track and measure success.
• Work closely with Project Lead, HWI leadership team and Advancement to identify and build relationships with potential supporters.
General Administrative Support
• Provide administrative support to stakeholders of the Healthy Waterloo Initiative.
• Update and manage the database system.
• Prepare reports and documents, as needed.
• Schedule meetings, circulate meeting materials, keep minutes and provide a summary of committee decisions.
• Track, order and maintain inventory of supplies.
• Maintain electronic filing system within University Records guidelines.
• Manage retention and storage of confidential documents.
• Support the expense reimbursement process.
• Prepare and coordinate the on-line and print communication and reports in collaboration with the Director
Required Qualifications
Education
• Undergraduate degree or equivalent combination of education and experience in a Health field required
• First Aid certification is an asset.
Experience
• Minimum of four years of administrative experience (academic setting preferred)
• Two or more years of supervisory experience
• Two or more years of website and database experience, familiarity with WCMS3, an asset
• Experience with marketing, advertising, project management or communications, an asset
• Leading and organizing events and volunteers, an asset
Knowledge/Skills/Abilities
• Well-developed organizational skills with an aptitude for attention to detail and accuracy
• Exceptional communication skills in written and verbal form
• Ability to exercise judgement, plan and implement a wide range of communication initiatives
• Strong leadership and interpersonal skills with the ability to build positive relationships and excel in a collaborative team environment
• Ability to adapt to changing responsibilities and take initiative.
• Intermediate skill level using Microsoft Office, Excel, and Teams.
