Client Operations Coordinator – {Name} Application
Seed World Group is looking for a highly organized, proactive
Client Operations Coordinator
to support our fast-paced team across client coordination, accounting support, marketing operations, and event execution.
This role is ideal for someone who thrives on organization, loves building systems, and can confidently juggle multiple priorities while keeping everything running smoothly behind the scenes.
Location Requirement
This position is intended for candidates located in
Winnipeg or Oakbank, Manitoba
, as the role includes some in-office tasks and support.
What You'll Do
You'll support a mix of internal operations, client coordination, and office logistics, including:
Finance + Admin Support
- Assist with
accounts receivable
and invoicing support (QuickBooks) - Help track payments, follow up on outstanding invoices, and maintain clean records
- Support purchasing needs and vendor coordination (as needed)
Scheduling + Coordination
- Provide scheduling support across internal teams and client programs
- Coordinate meetings, follow-ups, and deadlines using Outlook
- Assist with
travel coordination
for team members (when required)
Marketing + Client Operations
- Support digital advertising programs and reporting
- Help coordinate client deliverables and materials collection for campaigns
- Act as a
MediaOS liaison
(pull reports, confirm upcoming items, track timelines)
CRM + Reporting
- Support
HubSpot
email execution, templates, and internal reporting - Maintain spreadsheets and trackers for programs, deliverables, and renewals
- Compile reporting and performance snapshots for internal use and clients
Events + Webinar Support
- Assist in event coordination and sponsor deliverables
- Support webinar setup and logistics (materials intake, scheduling, follow-up tasks)
- Ensure deadlines are met and communications are clear
Office Support (in-person)
- Help with day-to-day office tasks such as:
- Shipping magazines and materials
- Keeping office spaces organized and tidy
- Stocking and ordering basic supplies as needed

- Comfortable working independently and taking initiative
- Confident communicating professionally with clients and internal stakeholders
- Solutions-focused (you don't just flag problems—you help solve them)
Required Skills / Tools
- Strong skills in
Excel
(sorting/filtering, formulas, organized trackers) - Strong experience with
Outlook
(calendar coordination + email management) - Comfortable learning and working inside operational platforms including:
- MediaOS
- HubSpot
- QuickBooks
- Strong written communication + follow-up skills
Bonus Points If You Have
- Experience in media, publishing, marketing, or events
- Familiarity with campaign reporting, email marketing, or digital ad coordination
- Experience coordinating client deliverables or working in a deadline-driven environment
