About the jobCohen Immigration Law is a leading Canadian immigration law firm that is in the middle of a major technology and operations transformation. We are investing in new tools, systems, and processes so we can continue to deliver best in class client service at scale.
We have ambitious plans to grow over the coming years and we are, therefore, seeking an experienced Operations Manager to join our leadership team, own the firm's internal systems and performance infrastructure, and lead this next phase of operational transformation. For the right person, this role is a clear path to grow into a Director of Client Operations as the firm continues to expand.

You will be responsible for ensuring that the day-to-day operations of the firm are running efficiently and that teams are meeting performance objectives. You will enable our legal and case management teams to focus on client results. The role combines operations leadership, technology implementation, and systems design in a performance first environment.
The ideal candidate has proven experience managing internal operations in a professional services organization (or similar) and has a strong track record of implementing technology and standardizing processes to drive efficiency, consistency, and scalability.
Key Duties and ResponsibilitiesAs Operations Manager at Cohen Immigration Law, your responsibilities will include:
Operational systems and workflowsDesign, maintain, and optimize workflows across departments, including intake, legal operations, client service, and administrative support.
Map, document, and improve standard operating procedures (SOPs) for key processes such as file opening, file closing, quality review, client communications, and office management.
Identify recurring operational tasks that can be automated and work with internal stakeholders or external vendors to implement technology solutions, dashboards, and automation tools.
Build and refine internal systems to monitor timelines, workloads, bottlenecks, and outcomes across departments and teams.
Ensure that processes and tools are adopted consistently and are easy for teams to use in day to day work.
Lead the recruitment process for staff roles (job postings, screening, interviewing, reference checks).
Design and improve structured onboarding programs so new team members ramp up quickly and understand how work gets done at the firm.
Coordinate with team leads so role expectations, training plans, and performance objectives are clear from the start.
(Note: this role is not an HR manager role. You will partner with leadership on hiring and onboarding, with HR compliance and formal HR matters handled by leadership and external advisors as needed.)
Performance, metrics, and continuous improvementTrack and analyze daily, weekly, and monthly operational metrics and department KPIs.
Prepare concise, actionable reports and dashboards for the Leadership Team.
Join department meetings to help plan for upcoming deadlines and ensure that work loads are distributed optimally.
Facilitate accountability by clarifying roles and responsibilities, setting expectations, and monitoring follow through across teams.
Lead structured problem solving when there are workflow breakdowns or inefficiencies, and drive follow through on corrective actions.
Own and enforce compliance with internal policies, handbooks, and operational protocols related to how work is done.
Partner with legal leadership to ensure operational processes support regulatory, privacy, and professional responsibility obligations.
Maintain appropriate records and documentation for operations, processes, and quality control.
Act as a central connector between teams so information flows smoothly and projects move forward without unnecessary friction.

5 to 10 plus years of experience in operations, business administration, or a related managerial role.
Minimum 3 years of experience in a law firm or professional services organization.
Bachelors' Degree
Proven track record of using technology (SAAS) to implement operational processes

Description du rôle
Vous serez responsable du bon fonctionnement des opérations quotidiennes du cabinet et de l'atteinte des objectifs de rendement des équipes. Vous permettrez à nos équipes juridiques et de gestion de dossiers de se concentrer sur les résultats pour nos clients. Ce poste combine le pilotage des opérations, la mise en œuvre de technologies et la conception de systèmes dans un environnement axé sur la performance.
Le/la candidat(e) idéal(e) possède une expérience confirmée en gestion des opérations internes au sein d'une organisation de services professionnels (ou similaire) et a fait ses preuves dans la mise en œuvre de technologies et la standardisation des processus afin d'améliorer l'efficacité, la cohérence et l'évolutivité.
Principales missions et responsabilités
En tant que Responsable des Opérations chez Cohen Immigration Law, vos responsabilités seront les suivantes :
Systèmes et flux de travail opérationnels
Concevoir, maintenir et optimiser les flux de travail entre les différents services, notamment l'accueil des clients, les opérations juridiques, le service client et le support administratif.
Cartographier, documenter et améliorer les procédures opérationnelles standard (POS) pour les processus clés tels que l'ouverture et la fermeture des dossiers, le contrôle qualité, la communication avec les clients et la gestion administrative.
Identifier les tâches opérationnelles récurrentes pouvant être automatisées et collaborer avec les parties prenantes internes ou les prestataires externes pour mettre en œuvre des solutions technologiques, des tableaux de bord et des outils d'automatisation.
Concevoir et optimiser les systèmes internes permettant de suivre les délais, les charges de travail, les points de blocage et les résultats au sein des services et des équipes.
Veiller à ce que les processus et les outils soient adoptés de manière cohérente et faciles à utiliser au quotidien par les équipes.
Acquisition et intégration des talents
Piloter le processus de recrutement (publication des offres d'emploi, présélection des candidats, entretiens, vérification des références).
Concevoir et améliorer les programmes d'intégration structurés afin que les nouveaux membres de l'équipe soient rapidement opérationnels et comprennent le fonctionnement de l'entreprise.
Collaborer avec les responsables d'équipe pour que les attentes liées aux rôles, les plans de formation et les objectifs de performance soient clairement définis dès le départ.
(Remarque : ce poste n'est pas un poste de responsable RH. Vous travaillerez en partenariat avec la direction sur le recrutement et l'intégration. La conformité RH et les questions RH formelles seront gérées par la direction et des consultants externes, le cas échéant.)
Performance, indicateurs et amélioration continue
Suivre et analyser les indicateurs opérationnels et les KPI du département au quotidien, à la semaine et au mois.
Préparer des rapports et des tableaux de bord concis et exploitables pour l'équipe de direction.
Participer aux réunions de département pour planifier les échéances à venir et optimiser la répartition de la charge de travail.
Favoriser la responsabilisation en clarifiant les rôles et les responsabilités, en définissant les attentes et en assurant le suivi des actions au sein des équipes.
Animer une résolution structurée des problèmes en cas de dysfonctionnements ou d'inefficacités dans les flux de travail et veiller à la mise en œuvre des actions correctives.
Gouvernance, conformité et qualité opérationnelle
Garantir et faire respecter les politiques internes, les manuels et les protocoles opérationnels relatifs aux méthodes de travail.
Collaborer avec la direction juridique pour garantir que les processus opérationnels respectent les obligations réglementaires, de confidentialité et de déontologie.
Tenir à jour les dossiers et la documentation relatifs aux opérations, aux processus et au contrôle qualité.
Collaboration interfonctionnelle
Assurer la liaison entre les équipes afin de fluidifier la circulation de l'information et de permettre aux projets d'avancer sans heurts.
