Overview

We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. This role is essential in providing excellent customer service and ensuring the smooth operation of our office. The ideal candidate will possess strong clerical skills, proficiency in various software applications, and the ability to manage multiple tasks effectively.

Duties

  • Greet visitors and manage front desk operations with a friendly demeanor.
  • Answer and direct incoming calls using a multi-line phone system, ensuring proper phone etiquette.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
  • Manage filing systems to ensure easy access to documents and information.
  • Provide customer support by addressing inquiries and resolving issues promptly.
  • Assist with bookkeeping tasks, including invoicing and managing accounts through QuickBooks.
  • Utilize Microsoft Office Suite and Google Workspace for document creation, spreadsheets, and presentations.
  • Proofread documents for accuracy and clarity before distribution.
  • Maintain an organized workspace to enhance productivity within the office environment.
  • Support administrative functions as needed, including scheduling appointments and managing calendars.

Qualifications

  • Previous office experience is required; medical or dental office experience is a plus.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace is essential.
  • Strong computer skills with the ability to learn new software quickly.
  • Excellent organizational skills with attention to detail for filing and data management.
  • Effective typing skills with a focus on accuracy in data entry tasks.
  • Demonstrated customer service experience with a commitment to providing exceptional support.
  • Familiarity with QuickBooks or similar accounting software is preferred but not mandatory.
  • Strong proofreading abilities to ensure high-quality documentation.
