**Job Summary**
Repin Inc. is seeking a highly organized and detail-oriented **Financial Administrator & Bookkeeper** to join our growing property management team. This key role supports the financial health and daily operations of our company by overseeing rent collection, owner statements, invoicing, payroll, reporting, and financial compliance.
The role also involves some human resources and tenant communications, liaising with contractors and agencies, assisting with administrative duties, and occasionally contributing to our emergency on-call rotation.
**Responsibilities**
- Collect rent payments & coordinate late rent payments
- Prepare monthly owner statements & ensure accuracy
- Process payment to owners (monthly)
- Coordinate N4s and N8s
- Review owner’s statement with new owners
- Invoice clients / Billing / track expenses
- Bookkeeping (Quickbooks) / Reconcile books / Generate Monthly Reports
- Account payable / Account Receivable
- Payroll / Payroll Remittance / ROE / Some Human Resources Tasks
- Report missing rents to clients & Review owner’s statements with clients
- Communicate well with contractors, suppliers, and coworkers
- Track employee expenses and revise receipts
- Answer property management phone calls when the remainder of the property management team is unavailable
- Order office supplies, coordinate ink in printers, order lockboxes etc.
- Administrative tasks to help the management team
- Follow up on welcome letters for newly onboarded properties to ensure tenants know how to pay rent, navigate the portal and more
- Send termination letters to tenants who no longer require our services
- Audit and ensure all HST filings, and WSIB remittances, and payroll deductions are paid to CRA monthly and quarterly for HST.
- LTB: Oversee arrears, assign N4s to be sent, and/or to be sent to Paralegal
- LTB: Attend hearings and update clients on result of hearing
- Contribute to being on call and on the emergency line (evenings and weekends)
**Skills**
- Proficiency in boookkeeping, particularly Quickbooks Online
- Strong understanding of payroll processes and account management.
- Experience in account analysis, budgeting, and reconciliation tasks.
- Excellent attention to detail with strong organizational skills.
- Ability to work independently as well as collaboratively within a team environment.
- Strong communication skills, both written and verbal, for effective interaction with stakeholders.
