**Job Overview**

We are seeking a **detail-oriented, organized, and fashion-savvy Buying Administrator** to support our Buying & Merchandising team at our Head Office. This role is critical to the efficiency of our buying operations and will manage the end-to-end administrative processes tied to seasonal buys, vendor relations, and product lifecycle tracking.

**Key Responsibilities**
- Support the buying team by managing all administrative functions related to seasonal and in-season buying.
- Enter and maintain accurate purchase orders, style details, and delivery dates into internal systems.
- Liaise with international vendors and suppliers to confirm orders, track deliveries, and resolve discrepancies.
- Maintain digital files for orders, line sheets, lookbooks, invoices, and shipping documentation.
- Track and follow up on merchandise deliveries, identifying delays or missing items.
- Assist in organizing and preparing for market appointments and seasonal buy meetings.
- Communicate with store teams regarding delivery updates, product info, and pricing details.
- Prepare product and vendor performance reports to support business and inventory decisions.
- Monitor inventory levels and product flow in collaboration with the allocation and planning teams.
- Coordinate with the finance team on invoicing issues, payment confirmations, and credit notes.
- Maintain brand consistency by ensuring product naming, categorization, and pricing is accurate in all internal platforms.

**Qualifications & Experience**
- 2+ years of experience in an administrative, buying, or retail operations support role (fashion industry preferred).
- Familiarity with buying processes, retail math, purchase orders, and vendor communication.
- Strong proficiency in Microsoft Excel, Outlook, and experience with inventory management or ERP systems (e.g., SAP, Joor, NuOrder, or similar platforms).
- Exceptional organizational and time-management skills with strong attention to detail.
- Effective communication skills (written and verbal) and a professional demeanor in vendor interactions.
- Ability to multitask and manage priorities in a fast-paced, deadline-driven environment.
- Passion for fashion and understanding of designer and luxury brands is a major asset.

**Job Types**: Full-time, Permanent

Pay: $21.00-$25.00 per hour

Expected hours: 37.5 per week
