Front Desk/Chiropractic & Physiotherapy Assistant

360 Wellness is seeking an enthusiastic, organized, and detail-oriented individual with excellent people skills to join our team in a front desk and assistant role. Our clinic provides a welcoming and fast-paced environment, offering wellness services such as chiropractic care, physiotherapy, acupuncture, psychology and massage therapy.
Responsibilities:
Front Desk Duties:

- Greet clients warmly and answer telephones.
- Ensure intake forms and other paperwork are completed accurately.
- Schedule appointments and manage the clinic calendar.
- Process transactions, including direct billing to insurance companies.
- Reconcile payments and perform nightly cash-outs.
- Handle general office tasks: filing, faxing, scanning, and photocopying.
- Conduct appointment confirmation calls and follow-up recalls.
- Ensure clinic organization and monitor inventory of office supplies.
- Perform daily cleaning tasks to keep the clinic tidy and welcoming.
- Reconciliation
- MVA/WCB
- Cleaning of clinic
- Assist chiropractors and physiotherapists with patient care.
- Monitor patient flow to avoid congestion at the front desk.
- Call patients who miss appointments promptly to reschedule.
- Maintain cleanliness and restock supplies in bathrooms and coffee areas throughout the day.
- Complete end-of-day tasks, including sanitizing treatment rooms, emptying garbage, and tidying all areas.

Additional Expectations:

- Maintain a professional and friendly demeanor with patients, providers, and staff.
- Complete weekly recall lists and communicate status updates with health providers.
- Ensure reception and clinic areas remain clean and orderly, especially during winter months.

- Previous experience in a chiropractic or physiotherapy clinic setting is required
- Proficiency in Jane software is preferred
- Strong supervisory skills with the ability to lead a team effectively
- Familiarity with electronic medical records systems
- Excellent organizational and communication skills

Pay: $18.00-$22.00 per hour

Expected hours: 35 - 44 per week

Schedule:

- 8 hour shift
- Day shift
- Evening shift
- Monday to Friday
- Morning shift
- Weekends as needed
