**Recreational Ballet Programs Administrative Coordinator.**

- Reporting to the Head of Recreational Ballet Programs, The Recreational Ballet Programs Administrative
- Coordinator plays a vital role in the delivery of Recreational Ballet Programs. The administrative coordinator
- will work closely with the Head of Recreational Ballet Programs to oversee the administrative projects and
- operations of the department. Key responsibilities include collaborating on participant registration processes,
- participant and staff communications, events and performances support.
- This position functions within a fast-paced office environment; working hours are typically Sunday to Thursday
- and will include some evening work.**Major Duties and Responsibilities**:

- Corresponds with and acts as a point of contact for inquiries from a range of constituents; welcomes

guests/parents/students; answers/directs inquiries; provides facility tours and program information
to prospective students and guests
- In collaboration with the Head of Recreational Ballet Programs, oversees departmental

administrative and organizational projects ensuring operations run smoothly and are delivered on
time
- In collaboration with the Head of Recreational Ballet Programs, delegates tasks to other members of

the team
- Assists with departmental communications and generates reports as required
- Monitors Young Dancer Program and Adult Ballet class attendance, class schedules and auditions;
- scheduling student interviews/assessments- Co-ordinates reports, casting, schedules, chaperoning, etc. of various performances and
- demonstrations (internal performances and external i.e. The Nutcracker, etc.)- Maintains/develops filing and retrieval systems as well as departmental supplies inventory
- Tracks and updates the department schedules (scheduling meetings, conferences, travel, etc.)

- Liaises with the Registrar’s Department with regards to auditions and registration and to obtain

information to create student lists, forms and memos
- Collaborates with other departments to maintain the NBS website, prepare/review marketing

materials
- Co-ordinates studio reservations, A/V set-up and other event logistics, as required.
- Assist with Special Events such as Performances, Auditions and other Recreational Ballet Program
- events/programming
- **Qualifications/Skills/Experience**:

- Post-secondary education in office practices/administration or a related field- 3+ years in an administrative or related position; experience in a dance environment or knowledge of
- dance would be considered an asset- Exceptional customer service, problem-solving, and interpersonal skills, with strong verbal and
- written communication abilities- Strong knowledge of MS Office (Outlook, Word, and Excel)
- Capacity to become proficient in additional scheduling, registration and data management platforms
- (e.g. Qualtrics, Smart Rec)- Strong proof reading, organizational and time management skills
- Excited to work in a dynamic, collaborative environment, and enjoys working with children and youth
- accordance with the School’s Child Abuse/Sexual Abuse Prevention Policy; this will be coordinated through
- the Human Resources Department of NBS.
