Purchaser (12-18 Month Maternity Coverage)

**Job Title**:Purchaser, 12-18 Month Contract (Maternity Leave Coverage)
The Purchaser monitors and maintains the Purchase Order process from creation to completion in Sage ERP. They will handle all logistics associated with delivery and updating staff on ETA’s for orders and core/seasonal inventory. Working with Management to build and maintain relationships with vendors/ staff and ensure excellent communication/ organization of all relevant information.
**Primary Responsibilities**
**Purchase Order Processing**
- Creating all purchase orders (PO’s), submitting them to the correct contact or via B2B and sharing with warehouse
- Maintain PO’s in Sage/ share status with the warehouse so that they can update their files
- Following up on Purchase Orders and maintain PO tracking system so that all staff have access to ETA’s
- Maintain backorder ETA spreadsheet for Core goods
- Maintain seasonal PO file, to ensure staff know what is coming when
**Logistics**
- Ensuring all shipments are correctly cleared by Summit Customs
- Track all shipments (particularly international) to ensure prompt delivery/ flow through customs
- Coordinate deliveries with the warehouse to ensure the warehouse does not become overwhelmed
- Schedule picks ups of shipments with logistics providers
- Work with Inventory Manager & Accounting to ensure proper spacing of deliveries to optimize cash flow
**Administrative Tasks**
- Shipping & Receiving all goods that are processed through North Vancouver location
- Maintaining North Vancouver warehouse space cleanliness/ organization
- Checking inventory levels/ running & cleaning reports for staff
- Processing all Defective Claims
- Reconcile RCP/ Invoice discrepancies as needed
- Make claims for shortages with suppliers as needed
- Sourcing Product information for new item entry including: UPC & Product Images
- Assist in new item entry in both Sage & Shopify
- Running Monthly Open Order reports to ensure orders are not being missed
**Other Responsibilities**, as needed include:
- General Office Support: Provide administrative support across departments and help maintain a clean and organized workspace
- Event Preparation: Packing and unpacking for events. Organize inventory, price, merchandise, and supplies for events, ensuring they are ready for transport and display
- Website & eCommerce Support: Assist in the maintenance and updating of website content, including adding and updating product listings. Regularly reviewing the website for quality and consistency.
- Other Duties as required
**Requirements**:
- Excellent communication skills, both written and verbal
- Ability to build strong positive relationships with vendors
- Ability to work collaboratively in a team-oriented environment
- Keen attention to detail
- Extremely organized
- Intermediate skill level in Microsoft excel including the ability to export data/ clean files
- Ability to multitask and prioritize effectively in a busy environment
- Must be able to physically lift up to 50lbs, including unpacking/ packing pallets
**Preferred Experience**:
- Purchasing experience for small to medium size business, perferably a retailer
- ERP software knowledge
- Education in inventory management, procurement, or logistics

**Job Type**: Fixed term contract
Contract length: 12 - 18 months
Pay: $24.00-$27.00 per hour
Expected hours: 35 per week
