**Description**:
This role entails full responsibility for managing the HR/payroll procedure throughout the onboarding process of new hires/ rehires and terminations/offboarding on our payroll system. In addition to onboarding & offboarding, the role also involves processing payroll and ensuring accurate and timely payments to employees. Furthermore, the Payroll & HRIS Coordinator is responsible for responding to employee inquiries and efficiently organizing payroll-related communications. They also provide valuable support to the People team by organizing employee files in the appropriate Payroll and HR folders.

The Payroll & HRIS Coordinator plays a vital role in sustaining and enhancing Saje's culture through day-to-day operations.

**Responsibilities**:

- Manages end-to-end payroll processing, including collecting and verifying timesheets, calculating wages, and ensuring accurate deductions and withholdings
- Fully responsible for onboarding new hires and rehires - ensure that there is a signed offer letter for the new team member joining the team. Follow up with Store Manager or District Manager if missing a signed offer letter or if there are any discrepancies. Ensures that the offer letters are saved in the appropriate payroll region (BC, East Coast and USA) and proper pay period. Ensures that the files are also saved in a new HR team member folder, or in the existing employee folder if he/she is a rehire.
- Reviews, saves, and accepts forms and confidential information that are submitted by Store Managers and Team Members. This can include direct deposit, name & marital changes, address, tax forms, etc.
- Ensures that position changes, Compensation changes and transfers are submitted correctly and reviews when Store Manager submits on our HRIS ( Dayforce).
- Ensures merits and minimum wage changes are up to date in Dayforce.
- Adjusts Dayforce profiles as needed. Example: adding work assignments for Team Members working at a different store location etc.
- Set ups POS usage and discounts for new/rehired employees on our ERP ( Rhizome). Removing POS, discount, and discounts access for terminated employees. Manage Rhizome/POS by resetting passwords, updating accounts and troubleshooting.
- Completes and organizes information for the team, establishes a routine for task completion and follow-up, and actively seeks ways to enhance the efficiency of procedures.
- Upholds the integrity of confidential HR and Payroll information, addressing and resolving issues faced by team members through investigation, and offering clear explanations to employees in need of assistance.
- Collaborates effectively with cross-functional teams, fostering a culture of accountability among employees, and earning trust within the organization.
- Flexibility to take on new projects and assignments as required.
- Contributes to a team environment where all Team Members consistently experience a sense of belonging and inclusion.

**Applicant Requirements**:

- 1+ year of administration experience in a fast-paced work environment
- Strong communication skills, both written and verbal, with the ability to effectively collaborate cross functionally.
- Previous experience in payroll processing and HRIS administration.
- Proficient in using HRIS systems, preferably with experience in Dayforce Ceridian.
- Excellent attention to detail and strong analytical skills.
- Ability to maintain confidentiality and handle sensitive employee information.
- Exceptional organizational and time management skills, with the ability to handle multiple tasks simultaneously and meet deadlines.
- Proficiency in Microsoft Excel skills
