**Position Description**:
We are looking for a scheduling coordinator to join the POCU (PeriOperative Care Unit) team. In this position you will facilitate daily nursing and information worker staff coverage for the area(s) within predetermined parameters such as the Self-Scheduling system, qualified employee lists, human resources policies and senior staff/management’s direction in order to assist the Hospital in providing the best in patient/family care.

Administrative Support
- Input scheduling data into computerized scheduling databases
- Produce computerized scheduling reports to assist the Manager/CSN/OR Coordinator in managing OR Blocks and staffing numbers
- Act as the primary payroll administrator.
- Manage and provide support to leadership team and staff related to payroll issues.
- General administrative duties including calendar management, monitoring multiple inboxes, file and document management.
- Assist with managing staffing and block, communications and website content up to date.
- Management and reconciliation of scheduling and payroll materials for the department
- Maintains reference and scheduling materials/files,
- Maintains files/list of payroll changes
- Assists in nursing scheduling, planning, organizing and maintaining the OR block schedule
- Records minutes of Scheduling meetings when necessary
Employee Scheduling
- Collaborate with leadership team to establish staffing models
- Regular communication and consultation with leadership team to manage resources in alignment with fiscal accountabilities.
- Act as the primary point of contact in the management of all schedule related issues.
- Facilitate stakeholder communication to meet staffing requirements.
- Identify and communicate employee scheduling/staffing issues to Management.
- Verify employee availability by comparing the already established schedules with any current, approved requests for leaves of absence received by the incumbent
- Identify the discrepancies between appropriate staff requirements and employee availability
- Communicate with employees in order to meet staff requirements
- Consult with Clinical Support Nurses and/or managers on situations that have budgetary implications such as overtime
- Advise OR Scheduling Committee and OR Nurse Coordinator/CSN/Manager of schedule adjustments
Information Resource Activities
- Acts as a resource for staff in the utilization of the computerized scheduling systems
- Provide an educational support to orient staff to the computerized scheduling and payroll systems
- Collaborate with Self Scheduling Facilitators to monitor sign up and propose adjustments in area guidelines
- Identify and communicate employee scheduling/staffing issues to management and other selected members of the health care team
- Participate in the design, development and implementation of computerized employee scheduling tools
Organizational Responsibilities
- Accountable to align activities and performance with strategic goals and objectives of the Hospital for Sick Children
- Adhere to Hospital standards, policies and procedures
- Participate in Quality Management
- Participate in the Performance Management Program
- Participate on hospital/area specific committees as required
- Participate in continuing education activities
**Here’s What You’ll Need**:
- Minimum Educational Requirement: Degree or Diploma in Health or Business Administration or a related program.
- Job Related Experience Requirement: 2 years administrative and coordination experience, preferably in a hospital environment.
- Proficient with computer systems and software including Microsoft Office (Excel, Teams, etc.).
- Experience administrating payroll is a strong asset.
- Ability to multi-task, prioritize and reprioritize in an environment of constant change.
- Strong interpersonal and communication skills.
