Summary of positions

Information Officer

Responds to questions from the public, prospective students and faculties on matters related to undergraduate admission requirements and processes. Provides timely, courteous service that generates a high level of client satisfaction and projects a positive image of the University. Pre-analyzes the admissibility of students to different programs of study in order to complete their files.

Administrative Assistant

Assists with and performs a variety of tasks to support the administrative and financial operations of a department, program or event, while ensuring compliance with applicable policies and procedures.

Officer of Academic Development and Operations

Provide support by coordinating and executing various academic and administrative activities related to numerous requests, course scheduling, exam management, follow-ups, and information gathering to ensure an exceptional student experience is delivered. Execute administrative tasks, such as teaching evaluation requests, providing answers to general and recurrent questions from students, colleagues and other faculties. Assess requests and redirect them to appropriate resources when required. Organize and maintain the student electronic files. Keep them up-to-date and maintain the integrity of the information management system.

Senior Officer of Academic Development and Operations

Serves as a first point of contact for students by receiving, acknowledging, anticipating and responding to various student requests and by ensuring above average client service in order to attract, retain and maintain the student population rate in all programs of study. Execute administrative tasks, such as evaluating requests, making recommendations, approving certain requests and providing follow-ups with students, colleagues and other faculties. As an ambassador for the University and the Faculty, attend graduation ceremonies and various events to promote the University of Ottawa and the Faculty’s services.

Executive Assistant I

Provides administrative support to senior management (AVP, Chief of Staff) to ensure smooth office operations and support the implementation of projects and activities. Performs all duties autonomously and proactively. May be required to organize meetings, coordinate correspondence and communications, manage schedules, arrange travel, prepare documents and reports, coordinate administrative processes, coordinates events and assigned projects.

**Qualifications**:
Postsecondary education in a relevant field or equivalent work experience

Experience in a similar role

Knowledge of computer systems & software (financial systems, spreadsheets, outlook)

Experience in preparing reports

Ability to produce high-quality work under pressure while meeting strict deadlines

Strong interpersonal and communication skills

Strong organizational skills

Bilingualism - French and English (spoken and written)
