**About our Centre**

Centretown Parent’s Cooperative Daycare is a co-operative, non-profit, childcare centre, licensed under the Ministry of Education. Our staff are unionized through CUPE Local 2204, Childcare Workers of Eastern Ontario. Collective Agreement

The Program Coordinator ensures that programs are offering high quality inclusive childcare and that Ministry of Education regulations are met. To assume a leadership role overseeing the daily operations of all programs, staff, parent communication and health and safety. The program coordinator is responsible for the development of a yearly budget, parent invoices, accounts receivable / payable/capital grant proposals and determining strategies for childcare direction. The program Coordinator works closely with the Supervisor at our satellite location at Centennial Public School which encompasses preschoolers and extended care children.

**Duties will include but not be limited to the following**:
**General**:
a) Ensure compliance with the CCEYA Act, its Regulations, amendments, and related policies

b) Prepare licensing package for the Province, ensuring the Centre is meeting necessary requirements.

c) Follow through on any changes or recommendations from Provincial Licenser through secured ministry site ONe Key.

d) Maintain full enrolment in the daycare centre.

e) Orientation of new staff to co-op philosophy, policies and procedures, behavior management practices, health and safety, provide information support during learning curve, and participate when required in peer evaluation for probationary staff.

f) Intake and maintain centralized waiting list

g) Work in conjunction with Board in all legal obligations, including those related to the corporation

h) Maintain a daily log of significant happenings in the daycare

**Financial**

a) Prepare and monitors budgets for both Centretown and Centennial preschool and extended care programs

b) Negotiate the Centre’s budget with the City of Ottawa ( per diems) in consultation with the Board of Directors.

d) Ensure all banking is expedited quickly.

e) Ensure accurate bookkeeping of all the Centre’s revenue and expenditures, such as records to be passed on to the bookkeeper

f) Work with the Board and bookkeeper to ensure sound financial management practices

g) Completes accounts receivable and payable

h) Arrange fee payment with parents.( invoices)

i) Manage all expenditures and issue all cheques/e-transfers

j) Manage the investments of the Centre, with Board consultation

k) Ensure the Centre meets the financial responsibilities of its licensing requirements by communication financial responsibilities to the board.

l) Prepare material for the Annual General Meeting

m) Prepare documents for audit

n) Prepares schedule of expenses vs revenue for the city and present to Auditor for review

o) Ensure auditor’s year-end audit recommendations are implemented

p) Supply purchasing within budget allocations

q) Participate in fundraising activities on a yearly basis. Preparation of posters, flyers and on line distribution of promotion required.

r) Make changes to the budget during negotiations with the City of Ottawa if required

s) Be part of the decision making process regarding large equipment purchases

t) Participate in strategies for long term planning

u) Complete yearly GST/HST non-profit rebate forms

v) Prepares property tax rebate forms

**Personnel and staff relations**:
a) Provide support and leadership as required to meet staffing and program requirements to ensure innovative, high quality and appropriate inclusive programs.

b) Provide support and help staff through the process of conflict resolution

c) Attend and ensure regular staff meetings occur

d) Attend and ensure room meeting and that they occur regularly.

e) Facilitate and encourage collective participation in the decision making within the staff group

f) Provide support and administration to the Hiring Committee as set out in the hiring policy

g) Demonstrate a working knowledge of the collective agreement.

h) Administration of all benefits, plans and records related to personnel.

i) Ensure probationary evaluations occur for probationary staff members

j) Monitors and supports employee performance development of all staff.
