Simnet is looking for a bright, energetic, and highly motivated Office Administrator with experience in recruiting and basic HR functions. This role interacts with various departments to ensure that the office is functioning smoothly, creating a positive and inclusive environment.

*_note that this is not a remote role_

**Responsibilities**

**Office Administration**
- Provide administrative and office management support to the team including purchasing and stocking of office supplies ensuring that the office is always organized and tidy
- Responsible for general administrative tasks including, boardroom set up, catering, sorting mail, arranging pick-ups and deliveries
- Prepare hardware/software/licensing quotes, sales orders, and purchase orders; tracks Simnet and client inventory
- Manage vendor contracts to minimize service disruption and negotiate deals
- Communicate with external clients to schedule appointments (site assessments, audits), coordinates meetings and conference calls and take minutes for meeting, if required
- Promote a fun, yet healthy and safe work environment for all employees, organizing social events
- Is mindful of everyday improvements to keep the office and staff operating in an efficient manner
- Monitor incoming and outgoing mail and courier services, scanning files and inputting PO’s and information into QBO.
- Format, edit and design documents and templates for sales team and/or other departments as needed

**Recruiting/HR**
- Assist with full life cycle recruiting including sourcing, screening, interviewing, and onboarding
- Support and assist HR with tasks relating to on-boarding, off-boarding process, training and development, performance reviews, benefits program, and policies.
- Promote and oversee health and safety requirements

**Position Requirements**

**Formal Education & Certification**
- Post-secondary studies in business administration, accounting or equivalent
- Standard First Aid certification is considered an asset but willing to provide training.

**Knowledge & Experience**:

- Proven 3 years administrative experience required with a post-secondary degree/diploma
- Prior experience in supporting technical companies an asset
- Advanced Level in MS Office (Word, Excel, PowerPoint, Outlook)
- Positive, proactive, very detail oriented and driven to succeed
- Clear and professional communication both written and verbal, at multiple levels and with diverse internal and external audiences
- Ability to handle highly confidential information
- Ability to extract and compile data into reports
- Ability to handle administrative details independently, while exercising good judgment in keeping team members adequately informed
- Excellent organizational skills
- Ability to work effectively both independently and as part of a team
- Experience with CRM systems, Quickbooks, expense reporting software is considered an asset
