Freight Specialist

**Job Overview**

We are seeking a proactive and detail-oriented **Freight Specialist** to join our growing logistics team. This role is ideal for someone who thrives in a fast-paced environment and enjoys handling the full cycle of freight operations — from customer service and shipment coordination to documentation and billing. The Freight Specialist will play a key role in ensuring that all back-office, dispatch, and documentation processes run smoothly and efficiently.

**Responsibilities**
- Coordinate domestic and international freight shipments from booking to delivery.
- Communicate with customers, carriers, and agents to provide updates, resolve issues, and ensure exceptional service.
- Prepare and verify shipping documents such as B/Ls, invoices, packing lists, COOs, and AES filings.
- Manage dispatch coordination and track shipment milestones to ensure timely movement of goods.
- Generate customer invoices and assist in accounts receivable (collections) and payable processes.
- Maintain accurate records in QuickBooks and company freight management systems.
- Support bookkeeping functions such as reconciling payments, monitoring job costs, and updating financial records.
- Collaborate with operations and accounting teams to streamline workflows and improve process efficiency.
- Ensure compliance with all documentation, trade, and customs requirements.
- Provide general administrative support to the operations and management teams as needed.

**Qualifications & Skills**
- **Education**: Diploma or Bachelor’s degree in Logistics, Business Administration, Accounting, or a related field preferred.
- **Experience**: Minimum 1-3 years of experience in freight forwarding, logistics coordination, or customer service within the transportation industry.
- **Software Proficiency**: QuickBooks, Microsoft Office Suite (Excel, Outlook, Word); experience with shipping line or freight management portals is an asset.
- **Industry Knowledge**: Familiarity with export/import procedures, trucking dispatch, and customs documentation.
- **Communication**: Excellent verbal and written communication skills with a customer-first attitude.
- **Organization**: Highly detail-oriented with strong time management and multitasking abilities.
- **Problem-Solving**: Ability to troubleshoot shipment delays, billing discrepancies, and documentation issues with professionalism and efficiency.
