Auto Shop Administrator

In this role, you will be responsible for a variety of important tasks that help ensure the smooth and efficient operation of our mechanic shop. Your attention to detail and excellent customer service will be key to our success, and we are here to support you every step of the way.
**Your Key Responsibilities**:
- **Answering Incoming Phone Calls**: You will manage all inbound customer calls, assist with inquiries, and transfer calls to the appropriate service advisor as needed.
- **Customer Intake**: When new customers arrive, you’ll welcome them and gather all necessary information to onboard them into our Shop Management System. This ensures we have accurate records for future service.
- **Cash Handling and Checkout**: You will handle cashing out customers at the end of their service, processing payments accurately, and providing receipts.
- **Inventory Management**: On a monthly basis, you’ll complete an inventory inspection, making sure all numbers are accurate. You will also maintain the return shelf and ensure that all returns and cores are properly tracked and updated in our system.
- **Invoice Processing**: You’ll be responsible for uploading all invoices using the correct process, ensuring proper documentation and smooth record-keeping.
- **Oil Change Customer Intake**: When oil change customers come in, you will ensure their information is correctly entered into the system, providing them with a great experience from start to finish.
- **General Administrative Support**: You’ll assist with various administrative tasks as assigned to help ensure the shop runs efficiently.
**What We Expect from You**:
- A valid driver's license is mandatory
- A positive, proactive attitude and a desire to help customers and coworkers.
- Strong attention to detail and a high level of organization.
- Good communication skills to engage with customers and team members.
- Ability to multitask and work effectively in a fast-paced environment.
- Basic computer skills (Microsoft Office, and familiarity with shop management software is a plus).
- Previous experience in an administrative or customer service role is helpful, but not required.
- A background in the automotive industry is a bonus, though not necessary.
Pay: $18.00-$23.00 per hour
Expected hours: 40 per week
Additional pay:
