We are looking for someone with proficiency in handling a broad range of administrative and billing tasks.
**About Us**:
Reeves Richarz, LLP is a Canadian full-service law firm serving both corporate and personal law needs. With a long history of serving Canada’s property and casualty insurers, as well as institutions that self-insure property and casualty risks. We now bring that level of detail and diligence to areas like real estate, family law, wills and estates, and private legal matters.
**Position Overview**:
This position would be suitable for someone currently working in a similar capacity with a smaller firm or working in an administrative capacity with a larger firm, both of whom are looking to take on more responsibility. As an Administration and Billing Clerk at Reeves Richarz, LLP, you will work with administration and management staff to ensure accurate and timely billing as well as administrative tasks as needed.
**Key Responsibilities**:
- Prepare, review, and send client invoices in a timely and accurate manner, ensuring compliance with firm billing guidelines.
- Assist with maintaining accurate billing records, including tracking expenses.
- Organize and maintain electronic client files.
- Assist with data entry, document preparation, and the management of legal files.
- Perform basic office tasks, including filing, photocopying, faxing, and ordering office supplies.
- Coordinate and track payments and follow up with clients as necessary.
- Ensure that all billing-related tasks, including billing cycles and deadlines, are met.
- Assist with other administrative tasks as needed to support the team.
**Qualifications**:
- Proven experience as an Administrative Assistant, Billing Clerk, or in a similar role, preferably within a law firm or professional services environment.
- Strong understanding of billing software (experience with PCLaw is an asset).
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to prioritize tasks, manage time efficiently, and work independently.
- A proactive, positive attitude with a strong ability to collaborate in a team-oriented environment.
