Position Overview:
The Portfolio Management Office (PMO) Analyst is a key member of the PMO team. They work directly with Portfolio Managers, Project Managers, and acting project leaders to support effective project delivery that meets projects standards. The PMO Analyst works with multiple other stakeholders including finance, accounts payable, technical teams, functional managers, contracts and procurement teams.

The PMO Analyst is responsible for governance & control, project financial tracking and reporting, implementing standards across the portfolio (e.g. time tracking, project/program deliverables compliance, maintain/improving project templates), maintaining/supporting Project Portfolio Management (PPM) tools, and portfolio reporting.

**Job Description**:
Major Job Functions
- Support Project Managers and project leads as it relates to reporting, project management templates and PMO processes (30%)
- Project invoice validation, tracking and reconciliation, supporting procurement activities (30%)
- Support administrative processes (e.g. time tracking, status report compliance, reporting) that support the IT portfolio. (20%)
- Reinforce compliance Project Management Processes to meet internal standards (supporting efficiency, multiple stakeholder needs, and financial audit requirements) (10%)
- Support continuous improvement of PMO processes. (10%)

Accountability
- Take a customer centric approach to provide guidance and support to project delivery organization regarding issues and or questions related to the project activities (i.e. project flow, use of PPM tools, capital vs. operating expense classifications, time tracking standards, etc.)
- Act as a liaison regarding financial analysis issues supporting alignment and issue resolution between accounting, finance, contracts, procurement and other teams as required
- Lead project financial processes related to project invoice validation, tracking and reconciliation
- Perform various ad-hoc analyses as required to provide insight into financial performance
- Ensure all projects managed through PMO comply with critical processes
- Support portfolio management processes i.e. project planning, risk/issue management, and resource management
- Facilitate Project Manager onboarding including awareness of required project standards/tools
- Lead quality and improvements to portfolio reporting that support stakeholder awareness, efficiency, and project delivery
- Lead improvements within the PMO including related work instructions, tools (i.e. PPM) and templates
- Support administrative processes that support the IT portfolio

**Qualifications**:

- Post-secondary education in a related field.
- Experience in a project structure is an asset.
- Experience using Project Portfolio Management (PPM) tools (i.e. Smartsheet, Microsoft Project Online), project software, or project financial controls/systems considered an asset.
- Certified Associate in Project Management (CAPM) considered an asset.
- Understanding of PMO / project processes and methodologies considered an asset.
- Experience in interacting with internal customers to provide process support and guidance an asset.
- Knowledge of Microsoft Office suite with a focus on Microsoft Excel, Microsoft Project and/or Microsoft Visio considered an asset.
- Knowledge of financial control mechanisms as they relate to project controls and governance considered an asset.
