Job Summary

**A Brief Overview**
The Development Coordinator plays a vital role in supporting strategic initiatives and administrative operations within Queen's Health Sciences (QHS) advancement. This individual will provide high-level coordination, including scheduling, expense tracking, travel coordination, gift administration, assisting the execution of stewardship activities, event coordination, and supporting broader communications to our alumni and donor audiences through activities like list generation and event registration set up. They will also be helping the team anticipate priorities and align efforts with institutional goals related to philanthropic opportunities across QHS and Queen's University. The incumbent will act as a contact and resource to senior staff and liaises with other offices in the faculty, university and with outside individuals and companies.

With a strategic and proactive mindset, the Development Coordinator will take an active role initiating research, facilitating and creating key briefings, and leverage internal connections to support planning and decision-making. The Development Coordinator will contribute to building our donor pipeline through active prospecting and research to support front-line fundraising staff. They will be the key contact for database related inputs, tracking and data integrity, as well as working with and preparing large data sets for other members of the team or leadership team to use in strategy development and decision-making purposes. This role requires strong organizational skills, adaptability, and the ability to think ahead to ensure the smooth execution of initiatives that advance QHS's development and engagement efforts.

This position helps foster relationships with donors by coordinating the administrative details associated with planning and implementing fundraising campaigns. This position coordinates key fundraising events by coordinating meetings, preparing agendas, background and promotion materials, and overseeing key event details. This position also performs analysis of the prospect pool and fundraising projections to identify and evaluate prospective donors.

The schedule for this position requires the incumbent to work frequent early mornings, evenings and weekends, according to program or area needs.

**Job Description**:
**What you will do**
- Identifies and evaluates prospective donors to categorize them by performing analysis of the prospect pool and fundraising projections.
- Assists with pre/post visit planning and follow-up including obtaining research profiles and wealth assessments, booking of meetings, and updating all contact reports and solicitation activity in the database.
- Prepares reports, presentations, letters, and invitations for university administration, volunteers, top donors, and prospects.
- Drafts briefing notes for senior staff.
- Coordinates and supports meetings, prepares and circulates notices, agendas, and background materials, and books guests, rooms and equipment.
- Participates in the development and delivery of key fundraising events.
- Manages, coordinates and maintains individual and class giving materials.
- Develops and manages the communications content and schedule for the unit.
- Tracks feedback from fundraising initiatives.
- Assists with budget preparation, invoicing, monitoring and reconciling accounts, preparing expense reimbursements and purchase orders, and journal entries.
- Coordinates the Student Thank you program as well as the departmental acknowledgment system.
- Prepares letter of intent for the donors/organizations signature.
- Other duties as required in support of the department and/or unit.

**Required Education**
- Four-Year Bachelor Degree or equivalent.

**Required Experience**
- More than 3 years and up to and including 5 years of experience.- Experience in client and/or customer experience functions considered an asset.
- Experience in planning and/or managing projects considered an asset.
- Experience with providing administrative support considered an asset (e.g., document editing, proofing, formatting and production, data entry, scheduling/coordinating meetings and/or travel arrangements, receiving/relaying messages, etc.).
- Experience planning, coordinating and/or managing events or promotions considered an asset.
- Experience working at a post-secondary education institution considered an asset.
- Experience working in a non-profit office considered an asset.
