Job Summary
The Manager, Adoption, under the direction of the Senior Manager, Shelter Operations, is responsible for overseeing all aspects of the adoption programs at the animal shelter, including adoption, foster-to-adopt, and adopt-from-foster. This role requires a dynamic and strategic leader who can manage and support the department’s staff and volunteers. The Manager will focus on ensuring the efficient and effective placement of animals into loving homes, minimizing their length of stay, and maximizing positive outcomes.
The position emphasizes staff and volunteer engagement, fostering a cooperative and inclusive team environment. The Manager will also prioritize client engagement, ensuring a high level of customer service and support throughout the adoption process. Additionally, the role involves maintaining policies and protocols related to adoption, and monitoring program effectiveness. This position balances management (85%) with administrative (5%) and compliance (10%) duties, requiring a proactive and adaptable approach to meet the organization's goals and uphold its standards.
Job Duties
Management - 80%
- Oversee the operations of all adoption programs, including adoption, foster-to-adopt, and adopt-from-foster, ensuring efficient operations.
- Lead and foster a team environment within the adoption department, ensuring cooperation and teamwork.
- Monitor the animal population and implement appropriate adoption options to minimize the length of stay.
- Participate in the maintenance of policies and protocols related to adoption, ensuring adherence to current standards.
- Facilitate communication between department managers, staff, and third-party organizations.
- Act as a primary point of contact for any elevated concerns or issues related to adoption and client interactions at the front desk.
- Foster, promote, support and drive inclusion and influence others to promote, embrace and progress Diversity, Equity & Inclusion at THS.
- Supervise staff, including scheduling, reviewing work, training, and personnel action such as hiring, transferring, promoting, disciplining, and conducting performance reviews.
- Administer and own the scheduling of the adoption team.
- Create and implement training systems for all staff and volunteers under purview.
- Ensure the delivery and provision of top-quality customer service and client care.
- Lead and foster an environment of teamwork and cooperation.
- Support the Division Management Team in evaluating new and existing programs and services, to identify, develop and implement plans for areas that require improvement.
Administrative - 5%
- Administrate the rehoming aspect of the shelters record-keeping software system, to include developing and maintaining data entry protocols, problem solving, and control of data lists related to adoptions
- Monitor all relevant metrics related to the adoption departments
- Monitor and adjust timesheet and payroll data entry such as recording sick days, vacation requests and lieu time
Compliance - 10%
- Be aware of and work within the regulations of all Toronto Humane Society policies and protocols
- Ensure commitment to quality, patient safety, and risk management initiatives in all staff members
- Ensure that all staff under your direction are equipped with and use the proper personal protective equipment, and all the safe work practices are followed
- Attend and participate in workshops, seminars, and in-service training to further education, skills, and knowledge
- Present a positive and professional image of the organization, also facilitate and communicate effectively with staff, clients/customers, visitors, and other external stakeholders, with a high level of confidentiality
- Understand and use correct reporting procedures for serious or unusual incidents, including but not limited to client injury or illness, incidents of aggression, or injury involving employees
- Work in compliance with the provisions of the OHSA and its regulations, including understanding and adhering to the requirements of the Health and Safety Manual, and any other rules and regulations established by the Toronto Humane Society
- Other duties as required in the day-to-day operation of the Society
Job Requirements
- Minimum 1-year post-secondary education in a related field, and
- Two years of experience providing client care and/or stakeholder management, and
- Three years of supervisory or management experience, preferably in a non-profit environment
- CAWA, RVT, Certified Trainer (e.g., CCPDT, KPA, IAABC), Social Service Worker, Master of Social Work (MSW) or Bachelor of Social Work (BSW) considered an asset
- Or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job
