**About the Role**

We are looking for an Operations Manager and Executive Assistant to perform a variety of tasks to support the company's senior-level managers.

As the Operations Manager, you will be responsible for facilitating the overall efficiency and efficacy of the operations. You will manage reporting activities, implement process improvements, lead change management activities, provide HR support, and support operational and project activities.

Executive Assistant’s responsibilities include managing calendars, making travel arrangements and other administrative items. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

**Operations Manager Responsibilities**:
Working closely with the COO to ensure effective operations for the team, which may include:

- Performing HR duties such as recruiting, selecting, scheduling interviews
- Helping the company to promote high morale and communicate the company’s operating policies, customer issues and safety measures
- Prepare quarterly reports to internal and external stakeholders by compiling relevant data and information and writing engaging summary reports
- Developing operations policies by evaluating and enforcing policies for operations and facility management
- Support Senior Management in keeping projects, teams, and stakeholder communications open and transparent, while maintaining a culture of accountability with team members
- Support Senior Management with the writing and negotiation of business contracts
- Work with COO to create a library of Standard Operating Procedures for Organization and Project level processes
- Lead the development and improvement of various business processes in Organization
- Create and maintain effective systems for task management and project tracking for senior management and key stakeholders
- Support and lead the review of IT software and implementation of solutions
- Vendor management for operations contracts and maintenance of vendor relationships
- Drive employee performance management review with executives
- Reviewing and approving operational invoices and forwarding them to payment
- Ensuring compliance with laws and regulations
- Making sure that all employees fill out the required legal documents
- Other duties as assigned
**Executive Assistant Responsibilities**:

- Acting as the point of contact among executives, employees, clients and other external partners
- Managing information flow in a timely and accurate manner
- Managing executives’ calendars and set up meetings
- Make travel and accommodation arrangements
- Track daily expenses and prepare weekly, monthly or quarterly reports
- Oversee the performance of other administrative staff
- Organized and proactive facilities management
- Take minutes during meetings
**Qualifications and Skills**:

- Bachelor’s degree in operations management, business administration, or related field
- 2+ years’ proven experience in an operations management position
- Strong business acumen with proven ability to support and manage projects
- Curious & quick learner with problem solving mindset playing with business analytical tools
- Strong budget development and oversight skills
- Excellent business writing skills
- Excellent MS Office knowledge
- Good data analysis, planning skills
- Excellent verbal and written communications skills
- Excellent critical thinking and problem-solving skills

**Job Type**: Full-time, Permanent

**Salary: $70,000 - $80,000**

**Employment Type**: Salaried

**Schedule**: Monday to Friday, 9AM - 5PM
