Facilities and Services Supervisor

The Facilities and Services Supervisor is responsible for the management and maintenance of all Options Housing properties, including residential and office spaces. This role oversees building maintenance, furnishings, and equipment (including electronic equipment), ensures compliance with regulations, and liaises with external stakeholders as needed. The supervisor is expected to work independently, take initiative in identifying and addressing facility needs, oversees integrated pest management program, and incorporate environmentally sustainable practices into operations. This role requires the ability to adapt to changing priorities, manage multiple tasks simultaneously, and remain effective in a dynamic environment. Strong problem-solving skills and a willingness to take on new challenges are essential.

**Primary Functions**
- Oversee the maintenance team onboarding, performance management, and day to day function
- Responsible for maintaining Options Housing physical locations and resources including technology demands
- Oversee the implementation and ongoing management of the internal Integrated Pest Management (IPM) program across supportive housing buildings, ensuring the use of environmentally and effective pest control methods
- Oversee and maintain the organization’s emergency plan, ensuring awareness and training as needed

**Operations & Facilities**
- Maintain the integrity, safety, and cleanliness of all facilities, ensuring welcoming and functional spaces for tenants, clients, and staff
- Assess and implement short-term and long-term maintenance plans.
- Oversee building maintenance and property standards, collaborating with housing providers as needed
- Work within and help inform the budget for this position to ensure sufficient funds are allocated for operations and maintenance
- Oversee procurement and purchasing, ensuring compliance with the organization's Procurement Policy
- Ensure compliance with health and safety regulations, fire codes, and building codes
- Serve as an alternate supervisory representative on the Joint Health and Safety Committee
- Ensure compliance with health, safety, and property standards regulations, including fire code and building codes
- Coordinate and supervise contractors as required
- Provide input on the acquisition or development of new properties, focusing on maintenance and property considerations

**Maintenance**
- Develop and implement both long term and short term turnover plans for vacant apartments
- Plan and implement long term, preventative, and emergency maintenance plans, including mechanical systems and utilities
- Oversee the receiving and responding to tenant maintenance requests.
- Ensure maintenance tasks are completed either personally, by in-house staff, or through contractors
- Conduct physical labor as needed, including lifting and carrying materials.
- Perform scheduled unit inspections in collaboration with Housing Support Workers.
- Implement maintenance charge-back policies where applicable
- Oversee maintenance of Options Housing vehicles, including scheduling regular servicing
- Provide updates and reports when required by Executive Director

**Integrated Pest Management**
- Ensure regular pest inspections are conducted and corrective actions are taken as necessary
- Maintain records of pest control treatments and follow up to ensure effectiveness
- Educate staff on the importance of proper waste management, cleanliness, PPE, and maintenance practices that minimize the risk of pest infestations
- Ensure pest management strategies are in compliance with health and safety regulations and environmental standards

**Technology & IT Support**
- Problem solve with staff who are experiencing hardware issues
- Oversee setup, maintenance, and reset of staff devices (phones, laptops, tablets).
- Responsible for purchasing and maintaining records of work electronics in collaboration with the Administrative Assistant
- Liaise with external IT service providers as needed

**Human Resources & Staff Supervision**
- Hire, train, and supervise maintenance staff, ensuring adherence to policies and best practices
- Manage employee performance and disciplinary actions in collaboration with the Manager of Human Resources and Facilities
- Ensure staff receive appropriate training, either internally or through external resources
- Manage the on-call schedule and maintain the on-call information binder with essential maintenance details for quick reference
- Participate in an on-call rotation within the supervisory team, being available as needed to ensure facility emergencies are responded to appropriately

**Qualifications & Experience**
- Degree, diploma, or equivalent experience in property management, or a related field
- Minimum of 3 years of experience in a relevant role
- Pest Management license considered an asset
- Experience in non-profit housing considered an asset
- Experience supervising staff and contractors
- Valid Class G Driver’s L
