TrendMicro.comLocation: In-office — based out of our office in Ottawa, ON, with a requirement of 5 days per week on-site.Position SummaryThe Facilities Supervisor is charged with working closely with as well as supervising the other facilities team members to ensure that the day-to-day policies, procedures, and programs are followed. The Facilities Supervisor assures a well-managed, well-maintained Facility, while increasing the value of the Facility being managed. The position reports to the Facility Director and works with little supervision. Interfaces with building occupants and local site managers on a daily basis.ResponsibilitiesCoordinates the day-to-day operational management of the Facility to assure a high standard of quality.Supervise and provide guidance to on-site facility personnel, including facilities coordinator and receptionist positions where applicable.Back up fellow team members and cover receptionist duties for lunch and breaks as necessary.Manage all incoming and outgoing mail and shipping.Liaise with property management to ensure timely repair and maintenance of issues not directly Trend Micro’s responsibility.Communicate with all levels of local office management and build collaborative relationships with these departments.Cross-department training and knowledge sharing.Basic office maintenance and HVAC troubleshooting coordination with contracted vendors.Knowledge of UPS and generator systems to coordinate repairs and maintenance with contracted vendors; knowledge of fire suppression systems to coordinate with vendors.Moves, adds and changes; basic furniture component installations and minor repairs.Conduct Management by Walking Around (MBWA) to be proactive in daily operations and maintenance.Place and follow up on building work orders; manage projects as needed.Assist in responding to occupant requests and follow up to ensure a consistent approach.Assist in contractor selection and monitor vendor performance for compliance with specifications and standards.Assist in budget preparation and day-to-day financial management of the Facility within budget parameters; coordinate with Accounting.Assist with variance reporting; support Emergency Response Team (ERT) recruitment and training with the Facility Director and Security Director.Ability to work overtime and nights as required; be available 24/7 for emergency maintenance calls.Minimum 5 years’ experience in a commercial facilities position (at least 50,000 sq. ft. and 200 occupants) and minimum 5 years of supervisory experience.Data center experience is a plus; reliable transportation.Qualifications & SkillsBasic computer skills: Windows, Microsoft Office, MS PowerPoint, basic CADPersonal skills: Personable, good oral and written communication, good phone/people skills, organized, proactive, detail oriented, able to work in a fast-paced environment, customer-focused, and focused on continual skill developmentKnowledgeable in: Occupant relations; contract services administration; lease administration; leasing strategies and negotiations; escalations; construction and tenant build-out supervision; engineering and preventative maintenance; energy managementExperience With The FollowingAccounting, budgeting, business planning, activity reporting, security, emergency procedures, policy manual and administration, personnel administration, employee relationsBe able to lift 50 lbsWhat We Offer YouGroup benefits program with health and dental coverageTelehealth virtual health servicesLife insuranceShort & Long Term DisabilityPre-partum, maternity, parental and medical leaveCritical Illness InsuranceMental health wellness programWellness incentive programRetirement savings programs with company matchPaid time off and 14 annual holidaysTuition assistance and Employee Resource GroupsTrend Micro Canada has been recognized as one of the National Capital Region's Top Employers.
