This role will lead our travel program ensuring superior service, along with streamlining processes for efficiency where possible. In addition, this role will report to and be a key support to the Chief of Staff, assisting with projects and administrative pieces as assigned.

RESPONSIBILITIES:

- Manage & be accountable for all international and domestic travel requests including airfare, hotel, and car reservations, ensuring time and cost effectiveness. Prepare detailed itinerary for executives and liaising with them to address nuances and special requests. Be on standby, ready to respond quickly to last minute changes
- Lead administrative tasks on behalf of the executive include expense reporting, document managing, briefing documents, agenda and minute preparation.
- Review documents and presentation material prepared for executive team to ensure consistent format, grammar, spelling and edit as necessary.
- Act as back up for the Chief of Staff, supporting activities like:

- Management of executive schedules
- Streamline issues and respond the requests directed to the executive
- As directed, participate in and lead activities to support special projects, assignments and/or reports, either independently or in cooperation with other employees.
- Review incoming communications, identify action required, execute as appropriate, and monitor the issue(s) for follow-up.

**REQUIREMENTS**:

- Post-secondary diploma or degree preferred
- 1-3 years’ experience with executive travel coordination.
- Expert level experience in Microsoft suite and Adobe. Salesforce experience is considered an asset.
- Must have strong organizational and time management skills and ability to manage multiple priorities and prioritize work.
- Possess superior written and verbal communication skills.
- Confident working under pressure in a fast-paced office and meeting tight timelines.
- Proficient working independently and self-directed, with strong capabilities to troubleshoot as required.
- Ability to take rapid fire direction and problem solve independently.
- Demonstrate discretion, tact, and diplomacy, to maintain confidence, and respect for the privacy and integrity of the office you represent.
