**Job Description - Project Coordinator**

The role of the Project Coordinator is to assist management with administrative tasks once a bid has been awarded to the company. This will involve the collection, organization, and dissemination of job specific information from the estimators and clients, and acting as a liaison to the Site Superintendent, Forepersons, and other field personnel. You will also coordinate resources and equipment as well as set-up and monitor the daily truck driver schedule for efficiency.

- Attend weekly meetings

- Experience working in the construction industry
- Must be able to drive truck and produce a clean driver's abstract

**Responsibilities**
- Administer daily truck driver schedule and monitor efficiency
- Job tracker updated and info moved into current projects
- Specific job information is moved from the bids folder to projects
- New projects set up with appropriate workers, clients and job site management invited to participate
- Send new clients internal form to collect billing information
- Estimator's quotations are compared to job purchase orders or change orders, marked up for differences, and a scope of work prepared with production targets for the workers
- To-do list is built from the scope with added details for special materials
- Job scopes, schedules, prints/drawings, photos, change orders, hazmat reports and other site relevant information is collected from various departments and sources and printed in paper form for site start-up binders to be delivered to site and posted in digital form on Basecamp
- Demolition (asbestos sampling), painting, millwork divisions within the company are notified of job specific tasks (to-dos) or where material ordering lead time is necessary
- Jobs are monitored for compliance to scopes and to ensure that to-dos are being followed and marked off as tasks are completed to keep clients updated in real time
- Client communications monitored for change orders, site instructions, updates to schedules, prints, etc. and changes are added to Basecamp and affected people are informed, if necessary
- Check-ins with Forepersons that necessary paperwork/forms are on site and available, required safety equipment is on site and being used
- Reminders sent out to Project Managers or Forepersons to consult with Engineers when called in for a quote and any follow-up related to engineering, photos, schedules sent to clients, etc.
- Job feedback questionnaire sent out to clients, follow-up, analyzed
- Meet with Estimators and Project / Division Managers to discuss ongoing and upcoming work, changes to company policies, challenges, etc.

**Education & Training**
- Grade 12, GED or equivalent
- Trade related experience or certification is a must
- Proficient in Microsoft Office (Word, Excel)
