As a **Part-Time** **Unit Clerk**, you will be responsible for the efficient flow of communication between health professionals, departments, residents and families while maintaining confidentiality of resident information. You will also be responsible for a variety of administrative tasks which may include reception, greeting and directing visitors, residents and health professionals, maintaining resident records and charts, transcribing and processing physician orders as well as scheduling resident tests and/or treatments. You will also be responsible for performing a range of administrative activities in support of the unit.

**Qualifications**:

- Graduation from an accredited college with medical office administration or comparable education
- Demonstrate proficiency in typing and data entry and computer skills (Microsoft Office, Excel)
- Demonstrate excellent communication and organizational skills
- Physically able to perform assigned duties
- Possess a good previous work record
- Bondable and have proper regard for confidential information
- Ability to perform duties without constant supervision
- Knowledge of scheduling would be an asset; training provided
- Must be accountable
- Must be able to pass a Social Development background check and RCMP Vulnerable Sector Check
- Must be available for a set 9am-5pm Shift with a 2-week rotation: Week 1: Monday, Saturday, Sunday (weekends are 8am-4pm), Week 2: Thursday, as well as be available for on-call shifts to cover sick/vacation leaves

**Regular Duties & Responsibilities**:

- Perform Receptionist duties for Nursing Units (answer telephone, photocopying, faxing and scheduling)
- Prepares and maintains resident’s charts and care plans
- Schedule meetings, appointments. Provide names of residents who are scheduled for their annual Multidisciplinary Meeting to the Business Office Secretary prior to the 20th of each month.
- Prepares notification of meetings
- Makes appointments and arranges transportation for residents.
- Organizes resident’s chart for physician visits.
- Type letters and memos
- Prepares various requisitions and forms. (Laboratory, Diagnostic policies, Dietary, Maintenance)
- Files and maintains records such as admission and discharge documents
- Prepare work schedules for Care Staff, update work schedules and arrange for staff replacement
- Complete clerical component of admissions
- Maintain Master List of residents and Directory Board
- Maintain Inventory of forms, remove and add forms to charts as needed
- Prepare and distribute relief and permanent Admissions
- File Policies and Procedures in the Nursing Manuals once received from Secretary
- Order and stock Nursing and Clerical supplies
- Complete assignments/projects as designated by the Nurse Manager or Director of Care
- Update data in Momentum as provided by Care Staff and maintains an updated bloodwork list
- Archive discharged residents in Momentum
- Complete Medicare renewals
- Operates office equipment such as computers, fax machine and communication systems.
- Communicates with other departments, team members, healthcare professionals, residents and families.
- Prepare billing information for physician
