Volunteer & Operations Manager

The Kanata Food Cupboard is seeking a dynamic, highly motivated **Volunteer & Operations Manager **to lead and grow our organization. **ABOUT THE KANATA FOOD CUPBOARD** The Kanata Food Cupboard (KFC) is a non-profit charitable organization providing food assistance to local individuals and families in need. Our primary mission is to provide the healthiest possible food choices by engaging and inspiring the Kanata community. **JOB SUMMARY** Reporting to the Executive Director, the **Volunteer & Operations Manager** will be responsible for overseeing all volunteers and the coordination of activities through identification of internal and external volunteer needs. The **Volunteer** **& Operations Manager** will oversee the delivery of programs and interactions with individuals accessing food bank services ("clients") in a compassionate and supportive manner. **DUTIES AND RESPONSIBILITIES** The following duties are typically required of the Volunteer & Operations Manager: Responsible for working with the Program Coordinator for sourcing of all supplies needed for the Christmas and other programs. Client Store Management (25%): - Responsible for organizing and maintaining the client store area. - Overseeing the store's day-to-day operations, including stocking shelves, managing donations and fresh food (produce, meat, dairy) areas, and ensuring proper signage. - Providing updated information on food allocations to volunteers and clients. - Updating client allotment cards as needed. - Chairing the Ops Report Committee Meetings. - Conducting complete monthly inventory counts. - Updating the weekly inventory counts based on incoming sorting donations and outgoing stock counts. - Ensure that inventory is managed correctly, and sufficient inventory is on hand to support client needs. Social Media and Digital Content (15%): - Effectively communicate Kanata Food Cupboard client services and programs using various marketing and communication tools. - Responsible for creating content and managing all Kanata Food Cupboard website and social media platforms (including Facebook, Twitter, Instagram, LinkedIn and others). - Develop monthly newsletters for volunteers and stakeholders, sharing relevant program information and updates. Volunteer Coordination (60%). - Sourcing and recruiting volunteers through various channels. - Collecting information on availabilities and skills. - Arranging for appropriate training when needed. - Produce schedules for everyday activities. - Coordinate teams of volunteers for large-scale actions, including corporate volunteer teams and community groups volunteer teams. - Assign responsibilities to the right people for special events. - Work closely with the Client Facing Lead Volunteers to ensure their weekly volunteer allotments are met and find replacements for any vacancies. - Communicate frequently with volunteers to ensure they are satisfied and well-placed. - Disseminate information for upcoming actions and events. - Keep detailed records of volunteers’ information and assignments. - Ensure the purpose of the organization and its actions are clearly communicated. - Contribute volunteer hours to the monthly Operational Reports to the Board of Directors. **QUALIFICATIONS** - Completion of a post-secondary educational program, with a preference for not-for-profit management, social work or community development, is an asset. - Exceptional and agile relationship-building skills, with a demonstrated ability to connect with individuals, families, diverse communities, and networks well-aligned and inclined to support KFC's mission and values. - Persuasive and engaging communicator with strong presentation and public speaking skills. - Experience in developing and executing social media marketing and communications strategies is an asset. - Experience with overseeing and evaluating the successful implementation of professional events. - A keen interest in improving and enhancing program offerings, tools, and resources. - Proficiency in interpreting financial statements, developing budgets, and complex donor base IT systems such as Donor Perfect. - Proficiency using Microsoft software (MS Teams, Outlook, Excel, CRM, SharePoint, etc.) - Understanding compliance monitoring as it relates to filing all legal and regulatory documents for charities, workplace health and safety and food safety/handling. - Familiarity with recruitment, training, oversight, and evaluation of volunteers. - A valid G Driver's License and permission for Insurer to run Auto Report Authorization. - The ability to lift up to 45 pounds regularly. - A Police Vulnerable Sector check is a requirement of employment in this role. - A satisfactory credit check stamped and validated by your primary financial institution or directly from one of the official Credit Bureaus of Canada (Equifax/TransUnion) - The Kanata Food Cupboard is committed to being an equal opportunity employer.
